Job summary

Hines in Denver is seeking an experienced Administrative Assistant to provide advanced clerical support across a busy property team. You will coordinate activities, prepare documents, manage filing, and assist in monthly reports and accounts payable tasks.

Qualified candidates have a high school diploma or equivalent and five+ years of office experience, strong communication, and a proactive customer-service mindset. This full-time role offers competitive pay and benefits.

Responsibilities

  • Serve as the administrative support to assigned team members by coordinating, facilitating, recording, and communicating their individual, group, and company-wide activities.
  • As requested, compose various documents such as agreements, contracts, correspondence, interoffice memos, reports, charts, and tables.
  • Establish and maintain appropriate filing systems, both manual and electronic.
  • Complete special projects to support assigned area.
  • Complete Accounts Payable functions for the property.
  • Ensure that office supplies meet assigned group’s supply and stationary needs.
  • Greet all visitors and directly assist people when appropriate and refer to others when necessary.
  • Maintain ethical, professional, and courteous relations with all visitors and contractors.
  • Manage Conference Room reservations.
  • Request, verify and file building COIs.
  • Assist Property Manager and Project Accountant on collection efforts for tenant receivables.
  • Coordinates lobby exhibits, special events, special programs, holiday events, tenant breakfasts, gifts, and promotions.
  • Assists in developing, producing, and distributing building communications.
  • Assists in preparation of Monthly Ownership Reports.
  • Carries out other duties as assigned by Property Manager.

Responsibilities

Qualifications

Minimum Requirements include:

  • High school diploma or equivalent from an accredited institution
  • Five or more years of experience in an administrative role in a professional office environment
  • Compose various correspondence, documents and reports using proper format, punctuation, grammar, diction, and style.
  • Demonstrate strong initiative and customer service orientation.
  • Compensation: $60,800- $79,100; 3% Bonus Pool
