SERVPRO of North Deschutes, Crook & Jefferson Counties/Bend is hiring an Office Administrative Assistant / Job File Coordinator.

This role involves managing customer calls, coordinating tasks related to job monitoring, tracking, and software auditing of jobs. You will create preliminary estimates, perform general office duties, and maintain effective communication with clients and team members.

Key Responsibilities:
  • Interact with customers, balancing multiple duties and client interactions.
  • Monitor job file statuses, audit progress, and work-in-progress.
  • Ensure client requirements are met and followed.
  • Review and validate documentation, assist with estimates, and coordinate daily job files.
  • Maintain communication and prepare reports.
  • Perform detailed data entry and manage incoming calls about services and inquiries.
  • Collaborate with other departments as needed.
Position Requirements:
  • High school diploma/GED (preferred)
  • At least 2 years of customer service and/or office experience
  • Prior dispatch experience (preferred)
  • Ability to multitask and stay detail-oriented
  • Knowledge of local geography (preferred)
  • Proficiency in relevant computer applications
  • Willingness to serve as on-call manager after onboarding, including after-hours client calls.
Skills and Physical Demands:

This is a sedentary role in a fast-paced office environment. Some physical tasks include filing, lifting files, and possibly lifting up to 50 lbs or working in disaster restoration conditions. Ability to pass a background check is required.
