Job description

The Administrative Assistant provides comprehensive administrative support while utilizing advanced data analysis capabilities to enhance efficiency and decision-making. This role will require a high degree of organization across various responsibilities, including communication management, scheduling, document preparation, and supporting Regional and Area operations.

Key Responsibilities:

  1. Assist in drafting budgets, forecasts, and other financial documents
  2. Prepare and edit correspondence, reports, and presentations
  3. Assist the local management team with a variety of reporting to include expenses
  4. Manage and maintain calendars, schedule appointments and coordinate meetings
  5. Assist with expense reports for management team
  6. Handle incoming and outgoing communications, including emails and phone calls
  7. Maintain organized filing systems, both physical and digital
  8. Research, prioritize, and follow up on incoming issues and concerns including those of a sensitive or confidential nature
  9. Participate in Human Resources related compliance projects
  10. Order and manage office supplies, ensuring inventory is adequately stocked
  11. Serve as the primary point of contact for office maintenance and vendor coordination
  12. Greet and assist visitors, clients, and team members in a professional manner
  13. Respond to inquiries, providing accurate information or routing them appropriately
  14. Assist with operational support for customer recovery
  15. Support the implementation of process improvement initiatives

Qualifications:

  1. High school diploma or equivalent (required)
  2. Associate or bachelor’s degree in business administration, data analytics, or a related field (preferred)
  3. Proven experience as an administrative assistant or in a similar role
  4. Advanced proficiency in Microsoft Excel (including pivot tables, macros, and data analysis functions)
  5. Experience with data visualization tools (e.g., Power BI, Tableau) is a plus
