  • Process quotations, cost estimates, commercial proposals, and sales documentation.
  • Generate invoices and maintain accurate sales records; assist with contracts and tenders.

We are seeking an experienced and motivated Administration Manager-Account Support to join our growing organization. This position plays a critical role in supporting both our Supply Chain and Sales Operations teams by overseeing inventory and materials management, supervising purchasing activities, supporting account managers, and contributing to business development efforts.

The ideal candidate will be highly organized, customer-focused, and capable of balancing administrative, operational, and sales support responsibilities in a fast-paced environment.

Key Responsibilities
Inventory & Materials Management
  • Plan, coordinate, and monitor all inventory and materials transactions.
  • Ensure inventory, warehouse, receiving, shipping, and materials activities are performed safely and efficiently.
  • Implement and monitor processes that promote operational excellence and compliance.
  • Manage cycle count processes and ensure inventory accuracy within the ERP system.
  • Ensure company purchasing, receiving, and inventory transfer procedures are followed.
  • Assist senior management with the development and implementation of materials-related policies and procedures.
  • Facilitate periodic operational and inventory reporting for senior leadership.
  • Support Account Managers in identifying and developing new business opportunities.
  • Conduct proactive sales activities, including cold calling prospective customers.
  • Process quotations and prepare cost estimates, commercial proposals, and sales documentation.
  • Assist with the preparation of sales agreements and contracts.
  • Generate invoices and ensure accurate sales recordkeeping.
  • Negotiate tender and contract terms within company guidelines to satisfy customer and business requirements.
  • Maintain strong customer relationships and deliver a high level of client service.
Cross-Functional Collaboration
  • Work closely with internal departments and external customers to ensure seamless operations.
  • Foster positive working relationships across diverse cultures and business environments.
  • Support additional projects and responsibilities as assigned.
Qualifications & Experience
Required Education
  • Bachelor's Degree in Business Administration or a related field.
Experience
  • Minimum of 5 years of administrative management experience, preferably in a client-focused or industrial environment.
  • Experience supporting sales, purchasing, inventory, or supply chain operations is highly preferred.
  • Understanding of industrial safety practices and safety-focused workplace cultures.
  • Excellent administrative, organizational, and multitasking skills.
  • Strong attention to detail and problem-solving abilities.
  • Outstanding communication and interpersonal skills.
  • Customer-focused with the ability to build and maintain relationships.
  • Ability to work independently with minimal supervision.
  • Capable of prioritizing multiple tasks and meeting deadlines.
  • Proficient in Microsoft Office Suite.
  • Professional, resourceful, adaptable, and self-motivated.
  • Strong team-player mindset.
