Act 101 Administrative Assistant - Part-time

Position Summary:

Responsible for performing a variety of administrative duties in support of the Director of Promise Scholars/Promise Scholars Program. Ensures smooth operations of the program, including managing the lending library, Canvas page, and Peer Allies program. Works independently on many activities, should be reliable, have an interactive personality, and be committed to maintaining confidentiality at all times.

Essential job functions:
  1. Act as the point of contact with students when the Director is unavailable.
  2. Prepare communications such as emails, invoices, reports, and other correspondence.
  3. Maintain records by creating, organizing, and maintaining electronic and physical filing systems.
  4. Manage supplies by ordering office/school supplies, hospitality/promotional items, and researching vendors/suppliers.
  5. Perform bookkeeping functions, including maintaining budgets, monitoring financial activity, and managing the Peer Allies payroll spreadsheet.
  6. Greet students and visitors, answer questions, and seek assistance when needed.
  7. Assist with programs by participating in meetings (including note-taking), Promise Scholars events, and other community activities.
  8. Assist in all aspects of the Lending Library.
  9. Supervise Peer Allies, including weekly documentation, check-ins, and trainings.
  10. Assist with Promise Scholars Canvas pages by updating content and announcements.
  11. Collaborate with other departments on campus.
  12. Reserve space for events.
  13. Create flyers for Promise Scholars events using Canva or other platforms.
  14. Run errands as needed.
  15. Perform other duties as assigned.
Qualifications/Skills:
  • Proven experience as an administrative assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Proficiency in Canva and Canvas.
  • Knowledge of office equipment such as printers and copiers.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively.
  • Attention to detail and problem-solving skills.
  • Excellent organizational and multitasking abilities.
  • Flexibility to adjust schedules and tasks.
  • Empathy towards students facing difficulties.
  • Associate’s degree required; Bachelor’s degree preferred.
