Job summary

ARCCA LLC is seeking a detail-oriented Accounts Receivable & Accounts Payable Specialist to support daily financial operations in a fast-paced environment. You will manage customer invoicing, payments, vendor invoices, and reconciliation to maintain healthy cash flow and accurate records.

Ideal candidates have 2–4 years in AR/AP or related accounting, experience with ERP systems (Deltek Vantagepoint a plus), and strong Excel/Outlook skills.

Qualifications

• 2-4 years of experience in accounts receivable, accounts payable, bookkeeping, or general accounting.
• Experience with an ERP or accounting system; Deltek Vantagepoint or similar software is a plus.
• Proficiency with Microsoft Excel, Outlook, and other Microsoft 365 applications.
• Working knowledge of basic accounting principles and account reconciliations.
• Strong attention to detail, organizational skills, and follow-through.
• Excellent written and verbal communication skills.

Responsibilities

• Prepare and distribute customer invoices accurately and on time.
• Apply customer payments, including ACH, wire transfers, checks, and other payment methods.
• Communicate with customers regarding invoices, payment status, commitments, short payments, and account inquiries.
• Research and resolve billing discrepancies, unapplied cash, overpayments, and other customer account issues.
• Process approved credit memos, account adjustments, refunds, and write-offs.
• Maintain accurate customer records and supporting documentation.
• Review, code, and enter vendor invoices accurately and in a timely manner.
• Match invoices to purchase orders, contracts, approvals, and supporting documentation as applicable.
• Route invoices for approval and follow up on missing documentation or authorizations.
• Reconcile vendor statements and resolve duplicate invoices, credits, pricing variances, and payment discrepancies.
• Maintain vendor records, including W-9 forms, payment details, and contact information.
• Respond professionally to vendor inquiries regarding invoices and payment status.
• Prepare account reconciliations and supporting schedules as assigned.
• Maintain organized electronic records and audit-ready documentation.
• Support internal and external audit requests.
• Ensure compliance with company policies, internal controls, and approval procedures.
• Identify and recommend opportunities to improve billing, collection, payment, and recordkeeping processes.
• Assist with additional accounting and administrative responsibilities as needed.
