Nichols Contracting, Inc. is seeking an organized Accounts Payable Specialist to join our accounting team in Columbia, MD. You will manage vendor invoices, ensure accurate records, and support job costing for diverse construction projects.

The role requires construction-focused AP experience, attention to detail, and strong communication skills to collaborate with project managers and procurement teams.

Qualifications

• Associate degree in Accounting, Finance, or related field preferred.
• 3–5 years accounts payable experience, preferably in construction.
• Proficiency in accounting software (Sage, Foundation, CMiC, Accumatica, Viewpoint or similar).
• Strong understanding of job costing and construction-related payables.

Responsabilités

• Reconcile vendor statements and resolve discrepancies.
• Ensure compliance with company policies, contract terms, and regulatory requirements.
• Set up new vendors and maintains records of W-9s.

• Communicate with vendors and subcontractors to resolve billing issues.

Nichols Contracting, Inc. NCI is a full-service general contractor focused on providing premier services in all aspects of the construction process, from concept to completion. We manage a broad range of commercial construction projects, including new construction, tenant fit outs, and renovations. We are seeking a detail-oriented and organizedAccounts Payable Specialistto join our construction company’s accounting team. The ideal candidate will be responsible for managing vendor invoices, processing payments, and ensuring accurate financial records. This role requires a strong understanding of construction-related expenses, job costing, and compliance with industry regulations. Duties to include but not limited to:

Essential Functions:

• Accurately review, verify, and process vendor invoices, credit card transactions, and expense reports.
• Reconcile vendor statements and resolve any discrepancies.
• Ensure compliance with company policies, contract terms, and regulatory requirements.
• Set up new vendors and maintain accurate records of W-9s.
• Assist in month-end and year-end closing procedures by reconciling accounts payable transactions.
• Communicate with vendors and subcontractors to resolve billing issues and discrepancies.
• Work closely with project managers, project accountants and procurement teams to ensure proper job costing.
• Generate accounts payable reports, aging reports, and financial summaries as needed.
• Identify opportunities for process improvements and help implement best practices in accounts payable functions.

Desired Experience:

• Associate’s degree in Accounting, Finance, or a related field preferred.
• 3 to 5 years of accounts payable experience, preferably in the construction industry.
• Proficiency in accounting software (e.g., Sage, , Foundation, CMiC, Accumatica,Viewpoint, , or similar).
• Strong understanding of job costing and construction-related payables.
• Excellent attention to detail, problem-solving skills, and organizational abilities.
• Ability to work independently and meet deadlines in a fast-paced environment.
• Strong communication and interpersonal skills.

• Ability to independently ascend and descend stairs.
• Ability to independently reach, twist and bend.
• Ability to independently remain stationery for extended periods of time.
