Job summary

Hoffman Mechanical Solutions seeks an Accounts Payable Manager to lead the AP department, ensuring accurate processing, vendor relations, and strong internal controls. The role involves supervising staff, refining processes, and collaborating with the accounting team to maintain clean financial records.

Ideal candidates will have 3+ years in AP, 2+ years in supervision, and experience with ViewPoint or similar systems. A two-to-four-year degree is preferred.

Qualifications

• Bachelor’s degree or certification or combination of education and experience.
• 3+ years in accounts payable.
• At least 2 years in a supervisory role.
• Strong knowledge of accounts payable systems; ViewPoint preferred.
• Experience with internal controls around Accounts Payable.

Responsibilities

• Oversee the daily operations of the accounts payable department to ensure timely and accurate processing of payments.
• Ensure proper accounts payable procedures are followed and any discrepancies are resolved quickly.
• Ensure proper controls are in place within accounts payable processes.
• Supervise, train, and mentor the accounts payable team.
• Conduct performance reviews and provide guidance to improve team productivity and accuracy.
• Generate regular and ad hoc accounts payable reports.
• Work with the accounting team to ensure alignment between accounts payable and financial records.
• Review vendor complaints or concerns related to payment disputes.
• Maintain checklists ensuring all payments are entered timely (i.e. utilities, rent, services)
• Maintain good standing with vendors to prevent on-hold situations. Quickly research and respond appropriately when such situations may occur.
• Analyze and recommend improvements to the accounts payable process to enhance efficiency and accuracy.
• Implement new accounts payable systems, tools, and software as needed to improve operations.
• Assist with audits related to accounts payable and expenses.
• Work closely with other departments to ensure the accuracy of accounts payable.

The Accounts Payable Manager is responsible for overseeing and managing the accounts payable department's operations.
