Job summary

Ball State University is seeking an experienced accounting professional to serve as Assistant Director of Accounts Payable. In this leadership role, you'll help drive the University's payment operations, strengthen financial controls, oversee tax compliance, and mentor a talented team dedicated to providing exceptional service to the campus community.

Qualifications

• Bachelor's degree in accounting or related field.
• At least three years of financial accounting, fund accounting, or audit experience with a broad base of accounting and tax knowledge, plus spreadsheets.
• Excellent verbal and written communication skills.

Responsibilities

• Provide leadership, supervision, and operational oversight for assigned Accounts Payable staff, ensuring compliance with University policies, procedures, and internal controls.
• Review and maintain 1099-MISC and 1099-NEC files, including IRS rules for tax-reportable payments and filing requirements; perform quarterly reviews and IRS notices.
• Create and maintain vendor records in ERP systems, verify tax IDs, addresses, and banking details; audit vendor additions and modifications.
• Process AP and Student Refund payments, including checks and ACH remittances, resolve bank transmission issues, and review positive pay exceptions.
• Monitor email and payment activity for fraud; provide fraud awareness and training for staff.
• Review/approve Non-PO payments per policy; reconcile procurement card transactions in ERP.
• Respond to inquiries from faculty, staff, students, vendors, and external agencies on payments and tax compliance.
• Collaborate with Registrar’s Office to resolve duplicate vendors.
• Assign and review work; oversee training and development; participate in recruitment and performance reviews.
• Participate in testing and validation of system patches and financial application changes.
