Job summary

Southern Glazer’s Wine & Spirits, LLC. in Dallas, TX is seeking an Accounts Payable Clerk II to code, process and enter vendor invoices within the AP workflow.

You will review invoices for accuracy, resolve discrepancies, and communicate with internal departments to ensure timely payment. This role requires a high school diploma or equivalent with 2 years of experience, GAAP knowledge, and strong Excel skills.

Qualifications

• High school diploma or equivalence plus 2 years of experience.
• Knowledge of GAAP, federal regulatory guidelines, and organizational objectives.
• Proficiency using Microsoft Excel spreadsheets for pivot tables, charts and formulas.

Responsibilities

• Processes high volume of vendor invoices daily through the AP workflow.
• Review invoices for accuracy, including vendor and accounting information and supporting docs.
• Identify and resolve invoice discrepancies, coding errors, duplicates, and missing information.
• Communicate with internal departments to obtain clarification and resolve issues.
• Monitor queues, prioritize invoices, and meet processing deadlines.
• Ensure invoices are routed for approval and comply with AP policies.
• Adapt to SAP system conversion activities and evolving processes.
• Respond to vendor inquiries via email or phone.
• Assist with updating ledgers, journals, and accounts as needed.
• Perform check runs for assigned divisions.
• Perform other duties as assigned.

Overview

The Accounts Payable Clerk II is responsible for coding, processing and data entry of vendor payables invoices. Duties may also include opening, stamping and distribution of department mail, filing as needed, problem research and resolution and communication with internal and external personnel.

Primary Responsibilities

• Processes high volume of vendor invoices daily through the AP workflow ensuring timely and accurate processing
• Review invoices for accuracy and completeness, including vendor information, accounting information, and supporting documentation
• Identify and resolve invoice discrepancies, coding errors, duplicate invoices, and missing information
• Communicate with internal departments to obtain clarification, resolve issues, and facilitate timely invoice processing
• Monitor workflow queues, prioritize invoices, and follow up on pending items to meet processing deadlines
• Ensure invoices are properly routed for approval and comply with established AP policies and internal controls
• Adapt to SAP system conversion activities and evolving business processes while maintaining productivity and accuracy
• Respond to vendor inquiries regarding account information via email / telephone
• Assist with updating and reconciling ledgers, journals, and/or accounts, as needed
• Perform check runs for assigned Division(s)
• Perform other job related duties as assigned

Minimum Qualifications

• High school diploma or equivalency plus 2 years of experience
• Knowledge with Generally Accepted Accounting Principles (GAAP), federal regulatory guidelines, and organizational objectives
• Proficiency using Microsoft Excel spreadsheets in creating pivot tables, develop charts, and complex formulas

Physical Demands

• Physical demands with activity or condition for a considerable amount of time include sitting and typing/keyboarding using a computer (e.g., keyboard, mouse, and monitor) or adding machine
• Physical demands with activity or condition may include occasional to rare amount of time include walking, bending, reaching, standing, and stooping
• May require occasional lifting/lowering, pushing, carrying, or pulling up to 15lbs
