Job Title: Accounting/Office Manager
Location: Philadelphia, PA (100% Onsite – Center City Location)
Compensation: $75,000 – $90,000 annually
Our client is seeking a highly skilled, hands-on Accounting/Office Manager to support their client’s expanding team. This newly created role combines broad accounting, office management, and HR responsibilities, offering significant growth potential. The successful candidate will serve as the right hand to the President, who acts as CFO, managing key accounting functions while also supporting office and HR operations. This position suits a professional with 5-8 years of hands-on experience in accounting and office management, preferably in a smaller company environment.
The role involves a variety of tasks, requiring a proactive and well-organized individual with strong problem-solving abilities.
Key Responsibilities
- Execute daily, monthly, quarterly, and annual accounting transactions
- Maintain the billing system and perform account reconciliations
- Manage accounts receivable: sending statements, collection calls, handling inquiries
- Produce monthly financial and management reports
- Investigate and resolve accounting irregularities or inquiries
- Prepare bank deposits, general ledger postings, and enter invoices/payables
Office Management & HR Support
- Manage annual open enrollment and ongoing benefit enrollments/terminations
- Support biweekly payroll processes (initially learning, eventually taking responsibility)
- Audit and approve monthly benefit program invoices
- Handle new hire paperwork, terminations, and maintain personnel files
- Administer the annual review process
- Respond to unemployment notices
- Participate in recruitment plans
- Maintain vendor relationships with benefit brokers and 401(k) advisors
- Provide general support to company personnel and office operations
- Handle other projects and tasks as assigned
Qualifications & Skills
- Bachelor’s degree strongly preferred; Associate’s degree with relevant experience considered
- 5-8 years of hands-on accounting and office management experience, preferably in a small company
- Solid accounting skills and comfort with financial reporting and reconciliations
- Familiarity with HR processes and office management functions
- Strong Excel skills and proficiency with MS Office; experience with Dynamics 365 Business Central and ADP Workforce Now is a significant plus
- Ability to self-manage and demonstrate strong organizational, planning, and decision-making skills
- Excellent time management, critical thinking, and problem-solving abilities
- High attention to detail, accuracy, and confidentiality
- People management skills or a management mindset preferred (no direct reports initially)
- Payroll processing experience a plus, though not required initially
- Demonstrated tenure and stability in previous roles preferred (no job hopping)
