Accounting Manager – Insurance Operations

Department: Finance / Accounting

Reports To: Director of Finance

Position Summary

The Accounting Manager is responsible for full-cycle accounting operations, including accounts payable, accounts receivable, bank reconciliations, financial reporting, and audit support across multiple insurance product lines.

This position requires close coordination between QuickBooks and FileMaker to ensure premiums, commissions, claims, and settlements are accurately tracked for agents, brokers, underwriters, and insureds. The ideal candidate is detail-oriented, highly organized, and comfortable managing complex insurance accounting processes.

Key Responsibilities
Accounts Payable
  • Manage accounts payable across multiple bank accounts, including operating expenses, premium liabilities, agent and broker commissions, claim payments, payroll, and insured premium refunds.
  • Submit hourly employee payroll through the organization’s PEO, ensuring the accuracy of hours, deductions, and payment timing.
  • Process payments to 1099 contractors and maintain accurate records for year-end reporting.
  • Oversee Positive Pay processing and credit card program administration.
Accounts Receivable
  • Manage accounts receivable across multiple bank accounts, including agent settlements, individual insured settlements, and underwriting claim reimbursements.
  • Reconcile FileMaker bordereaux against agent statements in QuickBooks each month.
  • Create agent-level receivables with the appropriate allocations for premiums, taxes, and brokerage fees across multiple insurance product lines.
  • Manage daily payments received from agents, including check deposits and payment portal transactions.
  • Ensure payments are accurately recorded in both FileMaker and QuickBooks.
  • Communicate with agents regarding collections and accounts that are approaching or past due.
Banking and Reconciliation
  • Complete monthly reconciliations for all bank accounts and provide reconciled statements to the Director of Finance.
  • Verify that underwriting, tax, and brokerage liability accounts remain balanced to support monthly settlements with underwriters, agents, and state tax authorities.
  • Coordinate return premium processing between payment portals, QuickBooks, and FileMaker.
Payment Portal Administration
  • Serve as the primary administrator for payment portal systems.
  • Provide payment portal assistance to agents and individual insureds as needed.
Financial Reporting
  • Prepare and deliver monthly financial reports to leadership, including:
  • Year-to-Date Profit and Loss Statement
  • Monthly Profit and Loss Statement
  • Balance Sheet
  • Prior-Year Profit and Loss Comparison
  • Accounts Receivable Aging Report
  • Trial Balance
  • Assist with budgeting and forecasting throughout the year.
Claims Accounting
  • Process claim payments by check or wire once approved by the claims team.
  • Maintain claim bank accounts and prepare reimbursement reports for underwriters.
  • Accommodate weekly or monthly reporting schedules based on individual underwriter requirements.
  • Collaborate with the claims team to ensure accurate financial reporting.
Audit and Tax Support
  • Serve as the primary accounting contact for annual financial audits and underwriting audits.
  • Work closely with the CPA firm on year-end tax return preparation and quarterly estimated tax payments.
  • Gather and organize supporting financial documentation as needed.
General Support
  • Maintain organized accounting records and historical financial information.
  • Conduct regular reviews and quality checks to support accurate reporting.
  • Provide financial information and accounting support to internal leadership as needed.
Qualifications
  • Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • Three to five or more years of accounting experience, ideally within insurance, an MGA, or a related financial services environment.
  • Strong QuickBooks proficiency required.
  • Experience with FileMaker or a similar database system strongly preferred.
  • Experience processing payroll through a PEO or payroll platform such as ADP or Paychex required.
  • Experience with multi-entity or multi-line accounting, bordereaux reconciliation, or agent and broker commission processing is a plus.
  • Strong understanding of accounts payable, accounts receivable, bank reconciliations, and financial statement preparation.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills with the ability to work with agents, underwriters, auditors, and internal leadership.
  • Ability to manage multiple deadlines across weekly, monthly, quarterly, and annual reporting cycles.
