Job summary

Washington University in St. Louis is seeking a detail-oriented accounting support specialist to assist the Pediatrics research operation with daily financial tasks.

You will process requisitions, enter data into the Marketplace system, generate purchase orders, and liaise with labs and vendors to ensure accurate invoices and contracts. This role requires at least a high school diploma and about two years of accounting experience; strong organizational skills and adherence to university

Location SAINT LOUIS, MO 63110 Scheduled Hours 40

Position Summary Provides day-to-day operational accounting support for the Department of Pediatrics research operation.

Primary Duties & Responsibilities
  • Accounting/Financial Systems Review requisitions routed by labs for processing
  • Enter requisitions into the Marketplace purchasing system and monitor purchasing processes as requested.
  • Generate purchase orders for equipment, etc.
  • Contact vendors to adjust, obtain or process contracts and invoices as necessary.
  • Initiate/review for approval all purchasing transactions eligible for blanket order processing.
  • Process and track all invoices related to blanket orders, maintaining a spreadsheet of activity and balances.
  • Contact vendors to adjust, obtain or process contracts and invoices as necessary.
  • Process travel advances and check requests for travel; review supporting documentation and submit approval-ready travel expense reports on a timely basis per university/funding agency guidelines.
  • Process internal and external invoices.
  • Process inter-departmental invoices, obtaining approvals, keying appropriate accounting codes and tracking as appropriate.
  • Review reimbursement requests for appropriate university funding allocation & budget coding.
  • Advise on compliance issues & resolve, prior to processing.
  • Ensure transactions have supporting documentation and principal investigator or designee approval.
  • Budget Monitor account balances, maintain open encumbrances, process journals and budget adjustments.
  • Assist and provide back-up support as requested.
  • Perform other duties as assigned.
