Overview

Job Title: Accounting Assistant

The Accounting Assistant will play a crucial role in supporting financial operations by assisting with purchase order and invoice creation. The primary focus will be on accounts payable (AP) and accounts receivable (AR) duties and reporting. Initially, the role will involve handling AR bank deposits and document requests, eventually expanding to include AP responsibilities.

Responsibilities
  • Maintain and update general ledger accounts, ensuring accuracy in all financial records.
  • Process accounts payable and accounts receivable, including invoicing, vendor payments, and collections.
  • Reconcile bank and credit card statements monthly to ensure accuracy of balances.
  • Monitor cash flow, expense reports, and assist with financial reporting.
  • Assist in preparing financial statements, including balance sheets and profit & loss reports.
  • Prepare and process payroll for hourly, salaried, and contract employees on a weekly, bi-weekly, or monthly basis as required.
  • Ensure payroll compliance with federal, state, and local laws, including tax withholding and benefit deductions.
  • Maintain employee payroll records, including timecards, PTO, overtime, and wage adjustments.
  • Generate payroll reports and ensure payroll tax payments are made on time.
  • Handle year-end payroll tasks, such as W-2 and 1099 issuance.
  • Stay up to date with payroll laws and accounting principles to ensure accurate reporting and compliance.
  • Assist with audits, tax filings, and other regulatory financial reporting as required.
  • Manage employee records related to payroll, benefits, and deductions.
  • Assist the accounting team with month-end and year-end close processes.
  • Respond to employee payroll inquiries and resolve discrepancies promptly.
Essential Skills
  • 1+ years of experience with accounts payable/accounts receivable.
  • Proficient in Microsoft Excel for reporting.
  • Experience with ERP systems, SAP Business One is a huge plus.
Additional Skills & Qualifications
  • Associate degree in Accounting, Finance, or a related field. A bachelor’s degree is preferred but not required.
  • 3-5 years of bookkeeping and payroll experience.
  • Experience using accounting software, SAP preferred, and payroll platforms such as ADP.
  • Strong understanding of bookkeeping principles and payroll processing.
  • Attention to detail, accuracy, and ability to meet deadlines.
  • Excellent organizational, problem-solving, and time management skills.
  • Familiarity with state and federal payroll tax laws and reporting requirements.
Work Environment

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
