Job description

The Gift Operations team plays a crucial role in managing and optimizing the donation process for all gifts raised by Philanthropy. The team is responsible for recording gift revenue transactions, ensuring accuracy and allocating funds according to donor wishes, and in compliance with legal and ethical standards. In support of donor stewardship efforts, the Gift Operations team generates reports and provides timely information, ensuring gift revenue transactions are handled with expediency and accuracy.

As an important member of the Philanthropy Gift Operations team, the Accountant II (Philanthropy Pledges) works closely with the Manager, Finance (Gift Operations), to develop and operationalize a robust and efficient philanthropic pledge management program. The Accountant II is responsible for leading the team's operational efforts related to interfacing with internal customers, gift officers, other institutional departments and vendors via a variety of functions including but not limited to completing gift adjustments and managing the pledge program.

The Accountant II also reviews financial reports and takes corrective action to resolve discrepancies and outstanding items. Collaborates with Research Finance staff with various financial responsibilities including analysis and preparation of accounting entries.

KEY FUNCTIONS

Pledge Program (40%)

Administers pledge documentation and prepares account entries, including pledge reminder letters. Interfaces with fundraising and administrative staff to facilitate appropriate Philanthropy pledge entries. Provides due diligence to ensure quality assurance is performed on all pledge entries completed. Manage and ensure accurate credit card journal entries for posting and routing of philanthropic gift revenue within the donor database, including proper reporting of gift revenue on the general ledger. Provides coverage for daily reconciliations of gifts posted to the General Ledger (matching transactions sent from the Development Division's donor database).

Gift Adjustments and New Funds (40%)

Monitors, tracks, retrieves all adjustment inquiries in SharePoint Database. Manages gift adjustments in Journey CRM. Collaborates with financial staff on revenue transfers to the General Ledger. Educates and provides direction to Philanthropy staff on donation adjustments. Researches and provides residual OBIEE balances when requested by Philanthropy colleagues. Engages with gift officers and administrative staff to ensure accurate gift postings. Primary resource for Philanthropy new fund requests and chart of account setups including communication and management of relationships with faculty and their financial delegates. Develops, implements, and directs this program and oversees processes, procedures, and quality initiatives; reviews for process optimization and efficiency improvements.

Reconciliation, Reporting and Check Requests (20%)

Collaborate with Research Finance, Financial Controls and General Accounting to prepare monthly, quarterly, and ad hoc financial reports. Request monthly endowment transfer of funds. Support the Philanthropy monthly closing process by transferring unconditional pledge payment entries to appropriate account. Create monthly revenue accrual entries and post to the general ledger. Reconcile daily PeopleSoft GL transactions to Journey CRM. Process check requests to transfer funds to UT Foundation or return misdirected donations.

EDUCATION

Required: Bachelor's degree in Business Administration, Accounting or related field.

EXPERIENCE

Required: Two years of accountant experience required with a Bachelor's in Business Administration or related field. One year of accountant experience required with a Bachelor's in Accounting. May substitute required education degree with additional years of equivalent experience on a one to one basis.

Required: Three years of experience in providing administrative or gift/financial operational support.
