Responsibilities

  • Process FedEx invoices for payment, including reviewing invoices and obtaining missing charge codes or other required information.
  • Monitor the AP inbox daily to process approved invoices and distribute for approval and coding.
  • Provide backup support for check runs when needed.
  • Assist with credit applications and related documentation.
  • Maintain accurate and organized AP records per company policies and procedures.
  • Process and maintain copies of expense reports for billers and project-related activities.
  • Assist with expense reimbursement processing, ensuring proper documentation and approvals.
  • Enter and maintain employee addresses and banking information in accordance with procedures.
  • Perform data entry and reconciliation of prepaid accounts and monitor related spreadsheets.
  • Prepare accounting vouchers to correct discrepancies and reconcile credit card transactions.
  • Monthly reconciliation of bills and other prepaid and account reconciliation activities.
  • Maintain supporting documentation and assist with researching and resolving discrepancies.

Responsibilities/Duties
WHAT YOU'LL BE DOING
Accounts Payable and Invoice Processing
  • Process FedEx invoices for payment, including reviewing invoices and obtaining missing charge codes or other required information.
  • Monitor the HGL Accounts Payable (AP) inbox daily to:
    • Process approved invoices.
    • Distribute invoices for appropriate approval and coding.
    • Respond to vendor and colleague inquiries related to Accounts Payable.
  • Provide backup support for check runs when additional coverage is needed.
  • Assist with credit applications and related documentation.
  • Maintain accurate and organized AP records in accordance with company policies and established procedures.
Expense Reports and Employee Reimbursements
  • Process and maintain copies of expense reports for billers and project-related activities.
  • Assist with expense reimbursement processing, ensuring appropriate documentation, coding, and approvals are obtained.
  • Review expense documentation for completeness and accuracy and follow up on missing information as needed.
Vendor and Employee Maintenance
  • Add new employees to the company's vendor file and maintain accurate vendor information.
  • Enter and maintain employee addresses and applicable banking information, including required bank account details, in accordance with company procedures and internal controls.
  • Assist with maintaining accurate and up-to-date vendor records.
Account Reconciliation and Prepaids
  • Perform data entry and reconciliation of prepaid accounts.
  • Monitor the Prepaid Airfare spreadsheet and reconcile information provided by the Accounting team.
  • Identify discrepancies between the Prepaid Airfare spreadsheet and the General Ledger.
  • Prepare accounting vouchers to correct or resolve identified discrepancies.
  • Process and reconcile credit card transactions and supporting documentation.
  • Perform the monthly reconciliation of bills.
  • Assist with other prepaid and account reconciliation activities as assigned.
General Accounting Support
  • Maintain accurate accounting records and support documentation.
  • Assist with researching and resolving accounting discrepancies.
  • Work collaboratively with colleagues, project personnel, vendors, and other members of the Finance and Accounting team.
  • Assist with other routine accounting and administrative duties as assigned.
  • Utilize approved digital and AI-assisted tools, where appropriate, to support technical documentation, data analysis, project communications, and workflow efficiency.
Minimum Requirements
WHAT YOU NEED TO BE SUCCESSFUL
  • Bachelor’s degree in Accounting, Finance, Business, or a related field.
  • Minimum two years of related work experience.
  • Strong attention to detail and accuracy.
  • Organizational and time management skills.
  • Ability to handle confidential financial and employee information appropriately.
  • Strong communication skills (both written and verbal).
  • Ability to prioritize tasks and meet deadlines in a fast‑paced environment.
  • Proficiency with Microsoft Office, particularly Excel.
  • Demonstrated ability to learn and adopt new technologies and digital tools to improve project delivery and operational efficiency.
Desired Qualifications
WHAT YOU NEED TO STAND OUT - Preferred, not required
  • Familiarity with GAAP.
  • Deltek Costpoint experience.
  • Experience and flexibility in using generative AI tools (e.g., Microsoft Copilot, ChatGPT, Claude, or similar) to improve technical writing, data analysis, research, visualization, or project delivery efficiency.

Details

Work Schedule: HGL office work is dictated by a 5-day work week up to 40 hours per week; however, accounting deadline schedules may require occasional longer hours.

Office Type : Hybrid, in office 3 days per week after 90-day training period, which will be fully on-site.

Travel: No travel expected.

A favorable pre-hire drug test is required.

All positions are subject to a pre-hire education and driving record verification.

This specific role supports a U.S. Federal government contract which requires employees engaged on this contract to be U.S. citizens.
