Talentify is seeking a Staff Accountant to support monthly financial statements, journal entries, and account reconciliations. You will maintain the fixed asset system, administer grants, analyze variances, and assist in the budget process.

The role includes preparing audit workpapers, coordinating with CPAs, and acting as payroll backup when needed. Strong Excel skills and nonprofit or healthcare experience are preferred.

Qualifications

  • BA or BS in Accounting or related field required. Experience may be substituted for education.
  • CPA certification or advance degree preferred, but not required.
  • Experience in payroll processing and reporting preferred.
  • Proficiency in Microsoft Office, especially Excel.
  • FQHC or not-for-profit healthcare experience preferred.

Responsibilities

  • Prepare monthly financial statements and balance sheet reconciliations.
  • Post journal entries and adjust acccounts; maintain fixed asset system.
  • Assist with grant accounting and reporting for various grants.
  • Prepare audit workpapers and liaise with CPA for audits.
  • Coordinate payroll data and prepare accurate payroll as needed.
  • Support budgeting, variance analysis, and ad hoc reporting.

Job description

Job Summary

The Staff Accountant’s primary job function is to assist in preparing the monthly financial statements by preparing journal entries and account reconciliations, maintain the fixed asset system, maintain and administer grants, analyze variances in order to make recommendations to management, support the budget process, prepare assigned audit workpapers and ad hoc reports, and act as the backup to the Payroll Specialist by preparing and producing an accurate payroll as needed.

Job Specific Competencies

1. General Journal Entries
a. Reconcile accounts, prepare and post any adjusting journal entries.
b. Calculate and post assigned standard journal entries.
2. Financial Reporting
a. Prepare monthly financial statements.
b. Prepare specialized reports as required.
c. Assist with preparation of budgets and forecasts.
d. Assist with monthly budget comparisons.
3. Audits
a. Reconcile balance sheet, revenue and selected expense accounts and prepare audit schedules for financial audit.
b. Communicate with Independent CPA regarding audit issues, accounting policies and tax matters.
c. Coordinate industry specific audits as needed.
d. Audit Cash Drawers.
e. Audit Payroll Reconciliations.
4. Grant Accounting
a. Assist with financial preparation for UDS Report, Federal Grant, State Primary Care Grant and other grants.
b. Monitor cash receipts for appropriate posting of grant funds.
c. Make federal grant draws through the HRSA Payment Management System (PMS) website.
d. Prepare and submit quarterly financial reports to support grant draws.
e. Submit monthly invoices to the State of Washington for our Women, Infants, Children (WIC) program.
5. Physical Asset Records
a. Maintain fixed asset system for equipment purchases and reconcile to general ledger on a monthly basis.
b. Coordinate annual physical inventory of fixed assets.
c. Prepare annual detail report on equipment and depreciation.
6. Payroll
a. Coordinate accumulation of payroll data with Human Resources.
b. Prepare and produce an accurate payroll.
c. Promptly assist employees with questions or issues related to payroll.
d. Be cognizant of and adhere to all Payroll policies.
e. Maintain strict confidentiality of all clinical, physician related, and Payroll information.
7. Perform other accounting duties as assigned by CFO, Controller, and Accounting Supervisor
a. Team Member on Cross-Departmental Teams as requested; identify opportunities for efficiency in processes and systems.

Job Specifications

1. Education: BA or BS in Accounting or related field required. Experience may be substituted for education.
2. Certification/Licensure: Certified Public Accountant (CPA) or advance degree in Accounting preferred, but not required.
3. Experience: Experience in accounting including payroll processing and reporting is preferred. Proficiency in Microsoft Office, particularly with Excel. Strong communication and analytical skills. Familiarity with payroll and business taxes preferred. FQHC or not-for-profit healthcare experience preferred.

4. Essential Technical/Motor Skills: Competent with 10-Key operation by touch, proficient in Microsoft Word and Excel, and experience with computerized accounting software. MIP, UltiPro software experience preferred. Work requires the ability to read manuals, tax publications, financial statements, memorandum, reports, and general correspondence.
