Job summary

Qualifications

  • Bachelor's degree in Accounting, Finance, Business, or related field required.
  • CPA and/or Master's degree preferred.
  • Four or more years nonprofit accounting experience.
  • Payroll processing experience preferred.
  • Experience with QuickBooks and NetSuite.

Responsibilities

  • Process payroll and related journal entries; backup for payroll functions.
  • Lead month-end and year-end close activities.
  • Coordinate annual audit, Single Audit, and Form 990 preparation.
  • Ensure compliance with GAAP and nonprofit accounting standards.
  • Perform monthly bank and investment reconciliations.
  • Track restricted and unrestricted funds; resolve discrepancies.
  • Maintain audit and donor compliance documentation.
  • Prepare journal entries, financial reports, and schedules.
  • Support financial statement prep and audit support.
  • Strengthen internal controls; develop accounting SOPs.
  • Identify opportunities to streamline workflows and financial operations.

Position Summary

New Moms is seeking a detail-oriented and collaborative Accountant to support the organization's financial integrity through accurate accounting, financial reporting, and compliance. This role is responsible for managing key accounting functions, including payroll, reconciliations, month-end close, financial reporting, audit preparation, and grant compliance.

The Accountant plays an important role in ensuring the financial health of both New Moms and its social enterprise, Bright Endeavors, by maintaining accurate financial records, strengthening internal controls, and supporting sound financial decision-making. This position partners closely with the Finance Director and other departments to ensure compliance with nonprofit accounting standards and funding requirements.

This position is located at New Moms' main office in the Austin neighborhood of Chicago.

Location: New Moms Main Office (5317 W. Chicago Ave., Chicago, IL)

Schedule: Full-Time, 40 hours/week. Following onboarding, this position could be eligible for a hybrid schedule.

Starting Salary: $78,000 - $83,000

What a Day Might Look Like

Your day may begin by preparing journal entries for bank transactions, payroll and fixed assets before reconciling bank and investment accounts. Later, you might review grant revenue and expenditures, ensure compliance with donor restrictions, partner with the Finance Director to prepare month-end financial statements, or collaborate with colleagues to resolve accounting discrepancies.

Throughout the week, you'll support payroll processing, maintain accurate financial records, prepare audit schedules, and identify opportunities to improve accounting systems and workflows. Your work ensures New Moms has the financial information needed to make informed decisions while maintaining the highest standards of accountability to funders and stakeholders.

Key Responsibilities
Core Responsibilities
  • Process payroll and related journal entries while serving as backup for payroll functions
  • Lead month-end and year-end close activities
  • Coordinate annual audit, Single Audit, and Form 990 preparation
  • Ensure compliance with Generally Accepted Accounting Principles (GAAP)
  • Perform monthly bank and investment account reconciliations
  • Track restricted and unrestricted funds and resolve reconciliation discrepancies
  • Maintain supporting documentation for audits and donor compliance
Capital Expenditure (CapEx) & Fixed Asset Management
  • Administer capital expenditure processes and maintain fixed asset records
  • Track capital purchases, depreciation, funding sources, and grant compliance
  • Maintain fixed asset schedules and supporting documentation
Grant & Fund Accounting Support
  • Support grant accounting, restricted fund tracking, and compliance reporting
  • Collaborate with grant and contracts teams to ensure compliance with funding requirements
  • Maintain temporary restricted schedules and reconcile private funding activity
Accounting & Financial Reporting
  • Prepare journal entries, financial reports, and supporting schedules
  • Assist with financial statement preparation and audit support
  • Ensure compliance with nonprofit accounting standards, internal controls, and organizational policies
  • Support staff understanding of financial systems and reporting tools
Internal Controls & Process Improvement
  • Strengthen internal controls and improve accounting processes and documentation
  • Develop and maintain accounting SOPs
  • Identify opportunities to streamline workflows and improve financial operations

Qualifications
Education
  • Bachelor's degree in Accounting, Finance, Business, or related field required
  • CPA and/or Master's degree preferred
Experience
  • Four (4) or more years of nonprofit accounting experience
  • Knowledge of government grant guidelines and restricted fund accounting
  • Payroll processing experience preferred
  • Experience with Microsoft Office and QuickBooks required
  • Experience with NetSuite preferred
Skills
  • Strong understanding of nonprofit accounting principles and GAAP

  • Ability to manage multiple priorities while maintaining accuracy
