Position Summary

The Account Coordinator is responsible for supporting the successful execution of assigned customer freight from order entry through delivery.

The role requires strong attention to detail, organization, communication, and the ability to recognize and resolve issues within established procedures. Account Coordinators are expected to understand customer requirements, maintain accurate load information, communicate effectively across departments, and elevate situations requiring Account Manager or leadership intervention.

The Account Coordinator works as part of the account team and must be able to prioritize urgent freight, identify potential service failures, problem-solve routine operational issues, and support the Account Manager in providing a high level of customer service.

Essential Duties & Responsibilities
Shipment Management
  • Monitor assigned shipments and identify loads requiring scheduling, coverage, tracking, updates, or escalation.
  • Verify shipment details, appointments, equipment, temperature requirements, carrier information, and customer requirements.
  • Maintain accurate statuses, notes, appointments, and documentation in the TMS.
  • Follow established company and customer-specific SOPs.
Appointment & Load Coordination
  • Monitor loads requiring pickup and delivery appointments.
  • Coordinate with Appointment Scheduling and update confirmed appointment information.
  • Ensure loads are moved into the appropriate status based on account workflows.
  • Prepare Hold loads for Account Manager final review and QA confirmation.
Shipment Monitoring & Exceptions
  • Monitor same-day pickups, deliveries, uncovered loads, urgent shipments, and exceptions.
  • Identify service risks early and assist with routine operational issues.
  • Escalate customer-impacting, high-risk, pricing, coverage, or service issues to the appropriate Account Manager, Capacity team member, or leadership.
  • Follow issues through resolution or documented handoff.
Customer & Carrier Communication
  • Provide timely, professional shipment updates to customers, carriers, facilities, and internal teams.
  • Proactively communicate delays, exceptions, and potential service failures.
  • Document relevant communication and actions in the appropriate systems.
  • Escalate decisions or commitments outside established authority.
Team & Account Support
  • Work closely with Account Management, Capacity, Scheduling, and Tracking to support successful shipment execution.
  • Maintain knowledge of assigned customer requirements, facilities, procedures, and common service risks.
  • Support team coverage during breaks, absences, shift changes, and high-volume periods.
  • Maintain clear notes and communicate outstanding items during handoffs.
Quality & Accountability
  • Maintain accurate and current shipment information.
  • Complete tasks according to company and customer standards.
  • Resolve routine issues within established procedures.
  • Recognize and elevate urgent or customer-impacting issues promptly.
  • Take ownership of assigned responsibilities through completion, escalation, or proper handoff.
  • Meet established accuracy, responsiveness, service, and performance expectations.
