Job description

Under supervision, the College Aide will perform professional analytical and administrative work of moderate difficulty, assisting the ACCO/Purchasing management in managing and registering procurements in accordance with the New York City Charter, Procurement Policy Board Rules, and other relevant local, federal, and state requirements.

Responsibilities include:
  1. Managing procurements and related documentation from inception to registration.
  2. Utilizing citywide systems such as PASSPort and FMS to process procurements including M/WBE Noncompetitive Small Purchasing, mini bids, and micro purchases.
  3. Assisting with database management, research, and investigation of agency transactions made via Purchasing cards.
  4. Drafting correspondence, standard operating procedures, and preparing for meetings and audits.
  5. Interacting with project managers, fiscal officers, and teams, and archiving documentation.
  6. Performing other related tasks as assigned.
Minimum Qualifications

Matriculation at an accredited college or graduate school is required, with employment conditioned upon maintaining student status. Specific course requirements vary by assignment level, particularly for roles involving information technology.

Additional Notes
  • Maximum tenure is 6 years across all levels.
  • Students may work full-time during vacation periods but not more than half-time during academic sessions.
Preferred Skills

Proficiency in Microsoft Office, strong written and oral communication skills.
