Summary of Job Duties: The Access Coordinator II position at our Family Medical Center in Fort Smith offers an opportunity for individuals who are passionate about providing excellent customer service and assisting patients throughout the registration and appointment process. This role works under supervision to support the clinic’s patient resource needs and ensure comprehensive data collection. Primary responsibilities include conducting patient interviews, scheduling follow-up appointments, maintaining cash drawer operations, answering appointment calls and voicemails, and completing work queues in a timely manner. The Access Coordinator II is also responsible for completing recall appointments for visits and assisting with clinic closing duties.

Qualifications:

Minimum Qualifications:

  • High School Diploma/GED
  • Two (2) years of experience in customer service, registration, or scheduling in a healthcare environment

Knowledge, Skills, & Abilities:

  • Ability to follow oral instructions, read, and write
  • Computer/basic keyboard skills, telephone etiquette, and general knowledge of office equipment
  • Excellent customer service skills

Preferred Qualifications:

  • Knowledge of basic medical terminology; knowledge of healthcare insurance eligibility
  • Bilingual-Spanish & English

Key Responsibilities:

  • Identify and collect copays, coinsurance, and past due patient balances
  • Post payments, print receipts and balance cash drawer
  • Prepare necessary documentation for daily deposits
  • Register patients at front desk and assist billing to identify potential insurance billing and payment issues
  • Provide courteous and prompt attention to patients during registration and front desk interactions
  • Recalls for well child appointments are completed quarterly; front desk clinic closing required twice a week (Thursday & Friday)
  • Monitor changes in billing procedures and communicate changes to staff
  • Review patient accounts for demographic, insurance and/or payment errors
  • Track appointment cancellations and no-shows
  • Ensure faxing, scanning, and importing are completed in a timely manner
  • Review and verify patient billing information with supporting documentation
  • Schedule patient appointments, verify insurance eligibility, and counsel patients on office policies
  • Review Patient Portal requests for demographic changes and approve as appropriate
  • Review Patient Portal appointment requests and follow up with patients as needed
  • Sort and distribute incoming mail
  • Maintain a positive, professional attitude in a high-volume environment
  • Maintain consistent attendance
  • Fill in as Call Center Representative and cross-train in other areas as needed
  • Generate reports for accounting
  • Perform other duties as assigned

This posting will be used to fill multiple vacancies. Work hours are Monday-Friday, 7:30 am - 4:30 pm, including front desk clinic closing once a week (Wednesday).

Salary Information: Commensurate with education and experience
