Assist the agency with day-to-day functions, including front desk intake/registration, scheduling, insurance eligibility, training interns & volunteers, and acting as a call receptionist for administrative & clinic departments.

Key Responsibilities

  • Clinic Intake Responsibilities: Schedule appointments for medical, dental, behavioral health, and psych services; direct calls; check insurance eligibility; monitor and address incoming faxes; collect payments and record in EMR; assist with enrollment in programs like HSF and MediCal; make follow-up calls; greet and serve patients and visitors; communicate effectively over the phone; work 2-3 Saturday shifts per year.
  • Documentation Responsibilities: Perform administrative tasks such as filing, organizing, data entry, and billing; process patient data in electronic systems according to guidelines.
  • Administrative Responsibilities: Manage mail, reconcile cash, direct callers and visitors, and assist with volunteer orientation and training. May include other duties as assigned.

Required Qualifications

  • Experience in front desk reception, administrative, or customer service roles.
  • Professional demeanor with ability to handle sensitive information discreetly; work under pressure.
  • Strong organizational, interpersonal, communication, and customer service skills.
  • Ability to work collaboratively and independently in a fast-paced environment.
  • Proficiency with Microsoft Office (Word, Outlook, Excel).
  • Experience working with staff and volunteers.
  • Attention to detail and strong organizational skills.
  • Commitment to serving diverse communities, including those facing housing insecurity, substance use, HIV/AIDS, mental health issues, and LGBTQ+ populations.
  • High School Diploma or GED.

Desired Qualifications

  • Two years of experience in a medical front office, preferably in a community clinic.
  • Knowledge of Healthy SF and One-E-App systems.
  • Understanding of harm reduction and client-centered services.
  • Bilingual in Spanish and English.
