THE DEPARTMENT
The Center for Community Engagement (CCE), within the Office ofAcademic Innovation, provides campus-wide leadership andcoordination for experiential and community-engaged learning at CalPoly Pomona. CCE advances academic internships, cooperativeeducation, and other community-engaged learning experiences thatintegrate students' academic learning with meaningful opportunitiesbeyond the classroom. The Center works collaboratively acrosscolleges, academic departments, and administrative units and withcommunity organizations and industry partners to develop,implement, and sustain high-quality engaged learning opportunities.CCE is responsible for campus-wide program administration, partnerengagement, placement processes, risk management and agreements,university systems, training, assessment, and reporting associatedwith these experiences.
DUTIES AND RESPONSIBILITIES
Academic Internship & Cooperative Education Program Administration
- Provide campus-wide administrative and program leadership forthe Center for Community Engagement's Academic Internship andCooperative Education programs. Independently establish operationalpriorities and coordinate complex activities involving students,faculty, academic departments, administrative units, and communityand industry partners.
- Evaluate program policies, procedures, and operational needsfrom both strategic and operational perspectives. Identify emergingissues and opportunities, determine appropriate approaches, anddevelop, recommend, and implement new or revised processes inconsultation with the CCE Faculty Director.
- Ensure that academic internship and cooperative educationprograms comply with university and CSU policies and requirements.Interpret and apply applicable policies, advise campus stakeholderson program and compliance matters, and develop procedures forcircumstances not fully addressed by existing guidance.
- Provide consultation and leadership to faculty and academicdepartments developing or administering academic internship andcooperative education opportunities. Serve as a campus resourceregarding program requirements, policies, processes, systems, andeffective practices.
- Lead the administration of cooperative education processes incollaboration with the Cal Poly Pomona Foundation, includingstudent employment documentation and actions related to new hires,rehires, account changes, status changes, and separations. Ensurethe accurate and timely entry and maintenance of requiredinformation in KRONOS and related systems.
- Develop and conduct orientations, workshops, training, andinformation sessions for students, faculty, staff, and communityand industry partners. Assess training needs and develop resourcesthat support consistent implementation of program requirements andprocedures.
- Administer State, Foundation, and grant-funded resourcesassociated with academic internship and cooperative educationactivities. Monitor expenditures, analyze financial reports,prepare program and fiscal projections, and recommend resourcepriorities to support program objectives and longer-termgrowth.
Community and Industry Partnerships & Risk Management
- Provide leadership for the development, management, andexpansion of community and industry partnerships that supporthigh-quality academic internship and cooperative educationopportunities across the university.
- Serve as the primary campus contact for current and prospectivecommunity and industry partners. Consult with partners to developnew opportunities, strengthen existing placements, address complexor sensitive issues, and connect partners with appropriate faculty,academic departments, and university stakeholders.
- Lead partner onboarding and placement-site approval processes.Interpret and apply university risk-management requirements foracademic internships and cooperative education, including sitevisits, placement agreements, liability waivers, student consentforms, and other required documentation.
- Coordinate the execution, renewal, amendment, tracking, andretention of placement-site agreements and related records.Independently establish processes and priorities for monitoringagreement status, resolving issues, and working proactively withpartners and campus stakeholders to maintain compliant and currentagreements.
- Evaluate existing partnerships and placement practices usingprogram data, stakeholder feedback, and institutional priorities.Identify trends and opportunities, develop recommendations, andimplement strategies to strengthen partner engagement, improvestudent and partner experiences, and expand opportunities acrosscolleges and academic departments.
- Serve as the primary program liaison among the CCE FacultyDirector, faculty and academic leadership, Cal Poly PomonaFoundation, Risk Management, university administration, communityand industry partners, and other stakeholders. Facilitatecollaboration and consensus on program requirements, partnershipissues, risk-management practices, and opportunities for programgrowth.
Outreach, Training & Communications
- Develop and implement campus-wide outreach and communicationstrategies to increase awareness, understanding, and participationin academic internship and cooperative education programs amongstudents, faculty, academic departments, and community and industrypartners.
- Assess outreach and training needs, establish priorities, anddevelop targeted resources and approaches for diverse internal andexternal audiences. Evaluate the effectiveness of outreachactivities and revise strategies based on participation data andstakeholder feedback.
- Develop and maintain authoritative program information andresources for CCE web pages, including program requirements,policies and procedures, forms, workshops and events, featuredopportunities, partner resources, and relevant university andexternal resources.
- Develop informational, instructional, and promotional materialsand provide content for CCE and Office of Academic Innovationcommunications, annual reports, newsletters, presentations, andother publications.
- Plan and conduct orientations, workshops, presentations, andinformation sessions for students, faculty, staff, and communityand industry partners. Interpret complex program requirements andtailor information to the needs of different audiences.
- Collaborate with CCE and Office of Academic Innovationcolleagues on Center programs, events, initiatives, and projectsthat advance community-engaged and career-connected learning.
Systems, Data, Assessment & Reporting
- Serve as the primary CCE administrator and campus resource forBroncoSERV, Cal Poly Pomona's implementation of the CSU S4community-engaged learning platform. Establish administrativeprocesses, maintain program information and records, providetraining and consultation to faculty, staff, students, andpartners, resolve complex user and process issues, and coordinatewith CSU and campus technical support.
- Lead the administrative use of KRONOS and other systemssupporting the Cooperative Education program in collaboration withthe Cal Poly Pomona Foundation and other campus partners. Evaluatesystem and workflow needs, develop and implement improvements, andprovide system-related training and support to students, faculty,staff, and participating employers.
- Develop and maintain processes that ensure the accuracy,security, and appropriate retention of program, placement, partner,agreement, and risk-management records in accordance withuniversity and CSU requirements.
- Collect, analyze, interpret, and report data related toacademic internships and cooperative education, including studentparticipation, available opportunities, partner engagement,academic-unit participation, program growth, and other measures ofprogram effectiveness.
- Develop and administer program assessment processes andperformance metrics in collaboration with the CCE Faculty Directorand campus partners.
- Evaluate findings, identify trends and emerging needs, anddevelop recommendations to improve program effectiveness, policies,procedures, systems, and services.
- Prepare analyses and reports that support strategic andoperational planning, resource decisions, continuous improvement,and university and CSU reporting requirements. Present findings andrecommendations to CCE, Office of Academic Innovation, and othercampus stakeholders.
QUALIFICATIONS
- Combination - Bachelor's degree AND/OR the equivalent trainingand administrative work experience involving study, analysis,and/or evaluation leading to the development or improvement ofadministrative policies, procedures, practices, or programs
- Four (4) years of related experience
- Thorough knowledge of and ability to apply extensive expertiseto complex programs and/or administrative specialties, includingpertinent laws and regulations; demonstrated expertise in andadvanced knowledge of the principles, problems, and methods ofpublic and business administration and operational and fiscalmanagement; expertise in administrative survey techniques,operations and systems analysis, statistical and research methods,and the ability to interpret and evaluate results to develop soundconclusions and recommend new or revised policies. Ability tounderstand problems from a broad, interactive perspective anddiscern applicable underlying principles to conceive of and developstrategic solutions; ability to work with representatives frompublic and private entities and handle potentially sensitivesituations; demonstrated consultative skills in working withinternal and external constituent groups; ability to effectivelypresent ideas and concepts in written or presentation format anduse consultative and facilitation skills to gain consensus; abilityto train others on new skills and procedures and provide lead workdirection.
PREFERRED QUALIFICATIONS
- Experience providing administrative or program leadership foracademic internships, cooperative education, experiential learning,career-connected learning, community-engaged learning, or relatedhigher education programs.
- Experience independently administering complex, campus-wideprograms involving multiple academic units, administrative offices,external partners, policies, systems, and deadlines.
- Experience developing, managing, and expanding relationshipswith employers, community organizations, industry partners, publicagencies, or other external stakeholders.
- Experience interpreting and applying university policies, CSUrequirements, risk-management practices, agreements, or otherregulatory and administrative requirements.
- Experience evaluating program operations and developing orrevising policies, procedures, workflows, or administrativepractices to improve effectiveness and compliance.
- Experience administering information systems, databases, oronline platforms used to manage program operations, records,workflows, and reporting.
- Experience collecting, analyzing, interpreting, and presentingprogram data to support assessment, strategic planning, resourcedecisions, and continuous improvement.
- Experience administering budgets, grants, or other programresources and analyzing fiscal information.
- Demonstrated ability to develop and deliver training,presentations, workshops, and written resources for diverseinternal and external audiences.
- Demonstrated consultative and facilitation skills and theability to build consensus and resolve complex or sensitive issuesinvolving multiple stakeholders.

CSU Classification Salary Range
This position is part of the CSUEU bargaining unit 9. The CSUClassification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Scheduleis located on the CSU Salary Schedule website. The classification salary rangefor this position according to the respective skill level is:minimum $5,797 and maximum $8,445 per month. University Driving Requirement
