The Office of Academic Personnel & Faculty (APF) leverages its subject matter expertise and institutional perspective in academic personnel administration to support the recruitment and retention of the University of Washington's world-class community of faculty, librarians, and academic staff.

The Academic HR Specialist draws on a broad base of human resources knowledge to exercise independent judgement in analyzing and approving business process transactions; provides general guidance to University of Washington (UW) academic partners and other units on policies and procedures related to the employment lifecycle of academic personnel.

In serving the UW community, the Academic HR Specialist joins the entire APF team in promoting and continually aspiring to excellence, collaboration, integrity, innovation, diversity, and respect.

Academic HR must accurately represent the institution with regard to academic personnel appointments, compensation, recruitment, promotion and tenure processes. In serving the UW community, the Academic HR Specialist must be able to analyze and identify an appropriate solution(s) to any number of nuanced institutional and local school/college/campus issues and/or determine when and which issues should be escalated for leadership review.

APF is a key administrative unit overseeing policies and processes governing over 18,000 academic personnel at the University of Washington including professorial faculty who are central to advancing the UW's educational and research mission. The ever-changing landscape of technology, regulation, and stakeholder needs requires APF to be agile and responsive. As a member of the Academic HR service team, the Academic HR Specialist provides critical front line support necessary to ensure the efficient and compliant administration of academic personnel across the UW enterprise.


DUTIES AND RESPONSIBILITIES

Review and Analysis (55%)


  • Apply knowledge of academic personnel policy and related business processes in the initial review, analysis, and—where appropriate—approval of academic personnel business process transactions across multiple platforms (Workday, Interfolio, RT).
  • Apply metadata to records under Academic HR purview and ingest them into APF's electronic data management system according to business standards and records retention requirements.
  • Partner with other functional teams within APF to audit HR/payroll data, and perform related analysis and cleanup to ensure data integrity for institutional reporting



Customer Support (25%)


  • Exercise independent judgement, specialized knowledge, and effective communication skills in responding to customer questions regarding academic personnel appointments, compensation, terminations, promotions, leaves, recruiting and hiring processes in accordance with university policies
  • Work as a liaison to facilitate communication with other functional units when escalation is needed.



Training and Consultation (15%)


  • In collaboration and/or consultation with other APF team members and leadership, provide general consultative services and training to academic and administrative partners across the university using broad base of institutional policy and HR knowledge.



Other Duties (5%)


  • Participate in committee work related to APF's strategic priorities and vision
  • Attend training/professional development activities
  • Other duties as assigned



Minimum Requirements


  • Bachelor’s degree
  • Minimum of 3 years’ experience in human resources



Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

  • Demonstrated excellence in written, verbal, and interpersonal skills
  • Demonstrated record of outstanding customer service
