I. JOB OVERVIEW

Job Description Summary:

The Department of Organizational Sciences and Communication provides a home for faculty and students interested in studying, interpreting, and improving organizational and communication phenomena. Coursework in our programs draws from a broad range of disciplines across the university, including organizational management, psychology, communication, economics, and statistics. At both individual and global levels, the department seeks to enhance its understanding of communication and organizations by incorporating a range of epistemological and methodological approaches.

The Academic Department Administrator works under the direction of the Senior Academic Department Administrator to provide administrative support to the department.

Responsibilities include:

  • Manages all logistical aspects of the Department, including space, food and beverages, print and digital program materials, speaker travels, retreats, and department calendar, among other tasks.
  • Orders supplies and maintains office supply inventory.
  • Monitors and handles maintenance-related issues for the department and submits Fixit requests to facilities.
  • Receives and distributes incoming mail and packages; aids faculty in sending mail and shipments.
  • Serves as receptionist, greets and refers calls, responds to inquiries from students, University staff, sponsors, or the general public with an extensive knowledge of departmental programs and courses.
  • Assists students with general questions about registration, office hours, credit transfers, major declaration, course prerequisites, and other inquiries as they arise, and directs them to appropriate sources, offices, or advisors.
  • Responsible for monitoring the departmental general email and voicemail accounts and forwarding messages to the appropriate party for reply in a timely manner.
  • Maintains policy and decision files, regulations, historical files and similar documentation applicable to the programs administered
  • Supports the administrative operations of the department, including faculty directory, office hours, syllabi; textbook orders, classroom and technology requests; databases (such as lists of alumni and email distribution lists); file archiving, meeting reservations and materials,
  • Prepares course scheduling for both the regular and summer semesters
  • Researches and provides data reports from DataMart at the request of the Office Manager and faculty
  • Assists with course evaluations and Bulletin/brochures updates
  • Assists with departmental events (graduation reception, search receptions, holiday parties, annual kick-off meetings/orientation, etc.)
  • Responsible for the promotion of the department via CCAS news agencies and social media; regularly updates departmental website and helps to compile material for the department newsletter
  • Prepares correspondence designed to effective action or publicize department activities and to disseminate information about relevant events and opportunities to the department community (notices of jobs, internships and other opportunities for students);
  • Responsible for department reimbursements via Concur under the supervision of the Office Manager
  • Tracks donations and manages departmental correspondence with donors.
  • Liaison between departments and offices within CCAS and GW
  • Hires/supervise work study students when needed
  • Assists faculty and staff with special projects

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/ GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Demonstrated experience in academic or administrative support within a university or educational setting, including proficiency in coordinating departmental operations, scheduling, and student services.
  • Strong written and verbal communication skills, with the ability to effectively engage with students, faculty, university offices, and external stakeholders, and to manage content across digital platforms, including websites and social media.
  • Proficiency with administrative tools and software, such as Microsoft Office, scheduling systems, Concur (or similar reimbursement systems), and data reporting platforms (e.g., DataMart), with strong organizational and multitasking abilities.
