Job summary

University of Florida is seeking an Academic Assistant III to provide comprehensive academic and administrative support for the Center programs at the Main Campus (Gainesville).

The role involves coordinating recruitment activities, advising undergraduates, and managing events, records, and travel-related tasks for various programs, with emphasis on Latin American Studies. A Bachelor's degree or equivalent is required, and a Master’s is preferred.

Qualifications

  • Master’s degree preferred; strong computer literacy in MS Office, SLATE, and PeopleSoft.

Responsibilities

  • Assist in organizing undergraduate recruitment efforts and supervise Student Ambassadors.
  • Advise undergraduate students and update their records.
  • Coordinate classroom visits, tabling, outreach and recruitment activities.
  • Maintain resources lists for recruitment events and monitor activities.
  • Provide backup for Graduate Coordinator on student financial transactions and GA hours.
  • Support Center travel competitions and related reports or planning.
  • Support study abroad, internships, and other student programs and manage applications.
  • Track competitions, events, deadlines for the Academic team.

Job Description:
Academic and Administrative Support for Center programs
  • Assists the Associate Director of Academic Programs in organizing and coordinating undergraduate recruitment efforts, which may include supervision of a Student Ambassador program.
    Assists the Associate Director of Academic Programs in advising undergraduate students and updating their records.
  • Coordinates and organizes classroom visits, tabling activities, and other outreach and recruitment activities. May coordinate those with student ambassadors or volunteers. Monitors and updates a list of student groups and activities for recruitment efforts.
  • Coordinates the Center’s participation in UF events International Education week activities, and other similar activities. Assists with other student related events like Graduate Orientation. Duties will include things like coordinating participation, inviting students, making certificates, contacting other departments to invite participants, etc.
  • Compiles and maintains a list of resources to track and monitor for recruitment purposes. This may include a list of other Latin American Studies programs, universities and colleges for recruitment events, universities and colleges within the Academic Common Market, or other lists for recruitment visits, recruitment materials, or other recruitment or collaborative activities.
  • Serves as a backup for the Graduate Coordinator for student financial transactions and tracking GA hours.
Special Projects
  • Coordinates and provides support for Center travel competitions like the Field Research Grants, Library Travel Grants, and other travel award competitions. This will include support to the applicants from the application process through reimbursement for the travel. This may also include preparing and submitting reports to the applicable agencies involved or coordinating/planning events pertaining to those competitions.
  • Provides support to student programs, which may include study abroad opportunities, internships, student exchanges, the Florida Brazil Linkage Institute, the Charles Wood thesis award, and other programs.
  • Assistance may include arranging and coordinating payment for things like travel, lodging, tuition, and other student needs while they are a part of the program. Administrative assistance may also include tracking applications and deadlines, notifying students, and other application related processes.
  • Maintains a list of the faculty and affiliates assigned to various review committees for items like the Field Research grant competition, the Charles Wood thesis committee, the jury for the poster competition at the Fieldwork Workshop, and other committees. Disburses rubrics and timelines for review of the competitions and may attend committee review meetings. Serves as liaison between the committees and the Associate Director of Academic Programs.
  • Monitors and tracks all competitions, events, and necessary deadlines for the Academic team.
  • Plans and coordinates the Fieldwork Workshop/Festival every year with input from the Associate Director of Academic Programs.
Outreach Activities and Alumni Support
  • Maintains and manages a database for tracking Center alumni, Center students, and other Center affiliates.
  • Manages and provides support to Outreach activities like the Traveling Suitcase Program, Virtual Exchange program, virtual guest speaker initiatives, K-12 classroom visits, and other outreach activities. May supervise graduate assistants handling these activities.
Data Collection and Management
  • Manages and tracks data pertaining undergraduate enrollment in the minor and/or certificate, the graduate certificates, and other enrollment data for the Center
  • Manages, tracks, and maintains records of events
  • Manages data collection and maintains records for assigned projects
  • Assists in identifying areas where data can be collected

$41,000 - $47,000, commensurate with education and experience

Required Qualifications:

Master’s degree; Computer literacy in MS Office Suite, SLATE, and PeopleSoft; Knowledge of University of Florida and State of Florida rules and regulations regarding admission and student affairs; excellent interpersonal skills to interact with students, faculty, and administrators across campus; Knowledge of Latin American Studies (social sciences, history, humanities); Fluency in Spanish or Portuguese; Excellent written and oral communication; Strong interpersonal skills; The ability to self-start, work independently as well as work well in team environment, and multi-task. Position requires a well-organized, self-motivated individual who needs minimal direct day-to-day supervision.
