Job summary

Cal State East Bay in Hayward is seeking an Administrative Support Assistant II to provide reception, clerical, and administrative support to College of Science faculty, staff, students, and visitors.

The role helps manage course administration, student records, scheduling, and departmental communications, coordinating with College offices, Facilities, the Registrar, Enrollment Management, HR, and other units.

  • High school diploma or equivalent and some office experience.

Responsibilities

About the Position

This position provides reception, clerical, and administrativesupport to College of Science faculty, staff, students, andvisitors. The position supports the administrative and operationalneeds of assigned departments, programs, and initiatives within theCollege of Science and collaborates with other university offices,including the College of Science Office, Facilities, the Registrar,Enrollment Management, Human Resources, Hubs and/or Departments,and other campus administrative units. Working independently underthe general guidance of an assigned Analyst and appropriateadministrator, the incumbent coordinates with department chairs,other College staff, and College leadership to ensure the efficientdelivery of administrative services. Assignments are determined bythe operational needs of the College of Science and may change overtime while remaining consistent with the Administrative SupportAssistant II classification.

Responsibilities
  • Serves as the primary point of contact for students, faculty,staff, and visitors by providing information, resolving routinequestions, and facilitating access to College and Universityresources, services, and processes. Supports faculty withadministrative processes, including course administration, studentrecords, scheduling, and other departmental operations. Reviews,processes, and routes forms and documentation in accordance withUniversity policies and procedures. Communicates with students,faculty, staff, and campus partners to ensure timely and accuratecompletion of administrative processes.
  • Supports the day-to-day administrative operations of assignedadministrative units to ensure efficient, effective, and compliantbusiness operations. Coordinates administrative processes,maintains departmental records, prepares correspondence andreports, manages departmental communications, and providesoperational support for meetings, events, faculty recruitment, andother departmental initiatives. Coordinates with College andUniversity offices to facilitate administrative processes andensure continuity of operations.
  • Develops and maintains collaborative working relationships withCollege and University offices to facilitate administrativeprocesses, coordinate services, and support the effective operationof assigned administrative units. Provides cross-coverage andadministrative support for College of Science operations to ensurecontinuity of services. Performs other duties consistent with theAdministrative Support Assistant II classification asassigned.
Minimum Qualifications

Entry to this classification requires fundamental written and oralcommunication skills, including a sound foundation in Englishgrammar, spelling, and punctuation; an ability to understandstandard office procedures; an ability to operate standard officeequipment; an ability to learn office technology systems; anability to perform basic mathematical calculations; and typing andkeyboard skills.

These entry qualifications would normally be obtained throughcompletion of a high school program or its equivalent and someexperience in an office environment.

  • Strong knowledge of Microsoft Office Suite (e.g., Excel, Word)and/or Google’s office software (Google Docs, Google Sheets,Gmail).
  • Knowledge of basic office equipment: PC, printer, scanner,copier, fax, and multi-phone system
  • Some light lifting or carrying may be required.
Preferred Skills and Knowledge
  • Completion of college-level coursework.
  • Experience working in a college or university setting.Familiarity with enterprise administrative systems (e.g.,PeopleSoft/Oracle), electronic document management systems (e.g.,Adobe Acrobat Sign), and the academic programs, policies, andadministrative processes of the College of Science.
Condition(s) of Employment

Satisfactory completion of a background check (including LiveScan,as appropriate), that may include, but is not limited to: criminalrecords check, verification of academic credentials, licenses,certificates, credit history, professional references and/orverification of work history is required for employment. Cal StateEast Bay will issue a conditional offer of employment totheselected candidate, which may be rescinded if the background checkreveals disqualifying information, and/or it is discovered that thecandidate knowingly withheld or falsified information.Unsatisfactory results may also affect the continued employment ofcurrent Cal State East Bay employees who were conditionally offeredthe position.
