POSITION: School Office Manager

Location: Manassas Park Middle School

Reports To: Building Principal

Employment Type: Full-Time

Position Length: 245 days/12 Months

Salary Schedule/Grade: Managerial Pay Scale, Grade 12

FLSA Status: Exempt

JOB SUMMARY: The School Office Manager coordinates all activities through the main office and performs complex administrative support and clerical duties for a Principal/Assistant Principal(s). This position assists the Principal and Assistant Principal(s) by managing routine administrative tasks and coordinating the workflow and clerical operations of the school office.

Qualifications And Education Requirements

  • Associate’s degree required; bachelor’s degree preferred.
  • Minimum of three (3) years of office management experience required.
  • Strong interpersonal skills and the ability to communicate courteously and effectively with students, staff, parents, and the public.
  • Ability to work in a fast-paced environment while handling multiple tasks simultaneously.
  • Proficiency in general office procedures, secretarial techniques, computer equipment, and required software applications.
  • Strong organizational skills and attention to detail.
  • Ability to work independently with minimal supervision.
  • Flexibility to work evening and weekend hours for events or programs as assigned.
  • Bilingual skills preferred.

Essential Duties And Responsibilities (including But Not Limited To)

  • Coordinates and performs school office activities.
  • Coordinates and manages administrative tasks related to division cell phone policies
  • Draft, coordinate, and disseminate communications regarding school activities and events.
  • Update and maintain the school’s website to ensure timely and relevant information is available to the public.
  • Maintain and coordinate school and division calendars for public access.
  • Serve as an integral member of the school’s crisis response team.
  • Provide technical, secretarial, and administrative support, including scheduling appointments, preparing meeting materials, and maintaining administrative calendars.
  • Prepare periodic reports for the Principal, district administration, and external agencies as required.
  • Answer questions from students, parents, applicants, staff, and the public with professionalism and knowledge of office and school policies.
  • Perform a wide range of administrative tasks including document preparation, data entry, filing, processing employment verifications, and distribution of communications.
  • Support student enrollment processes and coordinate returning student registration updates within the student information system.
  • Coordinate special events, such as school visitations and student-centered activities.
  • Supervise, train, and provide guidance to other clerical staff.
  • Collaborate with the School Office Manager at the partner campus to align secondary school office procedures and practices.
  • Partner with the assigned HR Generalist to onboard and offboard employees, substitutes, and volunteers.
  • Perform other duties as assigned.

Physical Requirements

The position requires the ability to:

  • Communicate effectively through phone and in-person interactions.
  • Operate office equipment including computers, copiers, calculators, etc.
  • Perform physical activities such as climbing, standing, walking, lifting, reaching, and bending.

Employment Conditions

  • Must pass a Criminal Justice fingerprint/background check.
  • Must complete a tuberculosis screening.
