Job description

Job Title: Clerk Athletic Coordinator

Wage/Hour Status: Nonexempt

Reports to: Administrator Designated

Pay Grade: AO3

Length of Contract: 12 mos.

Dept./School: Assigned Department/Campus

Primary Purpose

The Athletic Clerk to the Campus Coordinator is responsible for overseeing and managing all duties specific to this position in addition to other duties assigned by the Campus Coordinator.

Qualifications

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Effective organization, communication, and interpersonal skills

Ability to follow written instructions

Ability to operate multi-line phone system

Experience

Two years clerical experience in office setting

Major Responsibilities and Duties
  1. Greet visitors and monitor all visitors to the high school athletic office.
  2. Answer all phone calls. Take and deliver messages.
  3. Pick up and sort mail; respond as needed. Deliver mail to all coaches and players.
  4. Submit job posting information to the Assistant Athletic Director of Personnel and Business.
  5. Take daily attendance for CA. Maintain a cumulative attendance report.
  6. Early release/excusal lists - Notify appropriate high school groups and code student activities as needed.
  7. Assist Head Football Coach with the UIL Portal procedures.
  8. Notarize all school related documentation for new head coaches. (PAPF, PAF, etc.)
  9. Assist with course change request and follow up.
  10. Assist with Failure/Grade reports.
  11. Serve as campus designee for Transfinder.
  12. Coordinate all athletic facility requests through Lubbock ISD Facilities Department.
  13. Meal/travel requests: Assist Head Football Coach with all team travel.
  14. Draft correspondence. Generate reports and other documents upon request.
  15. Communicate all athletic signings through the LISD Communications and Community Relations Department.
  16. Awards - Gather information for nominations, submit nominations, and follow up with the nominations.
  17. Send reminders to all head coaches about Academic All-State deadlines. Compute GPA and submit nominations.
  18. Gather all student/athlete prospect lists for recruiting purposes.
  19. Booster Club Liaison. Assist the Campus Administrator in charge of booster clubs.
  20. Maintain an up-to-date coaches contact list.
  21. Coordinate and assist with future athlete night and senior night for varsity football.

None.

Maintain emotional control under stress; work with frequent interruptions. Continuous sitting.
