RESPONSIBILITIES
  • Provide general support and assistance in administrative tasks of CDH
  • Completes confidential administrative services of the required pharma capability clusters and product teams
  • Develops or maintains an accurate and up-to-date records management system (including classifying and coding electronic and hardcopy files)
  • Coordinates and organizes meetings and conferences including meeting venue bookings, catering requirements, sets up the room with audio-visual equipment and flip charts and tend to other requirements of respective meetings
  • Arranges for travels including making hotel accommodations and land and air transportation bookings
  • Coordinates between capability clusters and operating units in resolving day-to-day administrative and operational problems
  • Processes, documents and files expenses and invoices
  • Provides services such as order placement and account information
  • Maintains adequate office supply of required capability clusters
  • Prepares certificates when required
  • Sends timely the updated QSDs to Iranian CMD received from global
  • Prepares HCP contracts in local CLMS and completes documents in EYS, RYS, Smartbuy and Global CLMS system
  • Complements Honorarium payments and purchasing (po, invoice) processes
  • Opens POs for events for required colleagues
  • Updates HIREP and organizational charts as soon as there is a change
  • Welcomes newcomers including interns, grants system authorizations of global and local common area & mail groups, provide required equipment and welcome boxes, adds to relevant communication channels and org charts, organizes orientation programs
  • Contributes to the preparation of new procedures about the programs and process and update them when needed

  • University degree
  • Fluent English both written and spoken
  • Advanced proficiency in MS Office and internal systems (e.g., CLMS, Smartbuy)
  • Strong organizational skills for managing meetings, travel, and documentation
  • Excellent attention to detail in handling contracts, invoices etc.
  • Effective communication and interpersonal skills for internal and external coordination
  • Discretion and professionalism in managing confidential information
  • Ability to multitask and prioritize in a dynamic, fast-paced environment
