Role Purpose
- Provide site management with facility, infrastructure, procurement, and administrative support to ensure smooth daily operations at the site and within the community.
Accountabilities
- Ensure the normalization of daily office and administrative duties.
- Manage effective procurement processes, complying with external and internal regulations and standards.
- Provide timely reporting and ad-hoc support on administrative tasks to the site head and leadership team.
- Coordinate with local procurement, Finance, and HR functions.
- Maintain the supplier list and coordinate annual evaluations.
- Ensure compliance with all regulatory requirements related to administration.
- Onboard new employees, provide orientation, and maintain employee records.
- Prepare monthly expense reports and align procurement solutions with the budget.
- Ensure all facility operation documents and permits are current and renewed on time.
- Coordinate office services, including mail, shipping, equipment, and supplies.
- Manage indirect procurement processes by communicating with vendors and collecting quotations.
- Track and update asset records.
- Manage monthly expenses and generate expense reports regularly.
- Organize emergency training sessions in coordination with team members.
- Facilitate booking processes for visitors.
- Handle coding, authorization, and entry of accounts payable into SAP.
- Manage records retention programs.
- Communicate effectively daily with peers and supervisors regarding project and work status.
- Participate in additional projects within seed operations and collaborate across boundaries.
- Work with breeders, BTS, and project managers to meet site needs.
- Follow GSPP rules and processes during daily operations.
- Maintain communication with third-party stakeholders and ensure proper documentation.
Follow up and regularly control expenses through SAP and POs.

Critical Knowledge
- Excellent communication skills

Critical Experience
- At least 3 years of administrative support experience
- Bachelor's degree
- Good command of English preferred
