Job Description

General Description: The incumbent will be based at the BeOne Singapore Office, overseeing Workplace Services. The role requires presence in the office 4 days a week, with on-call support as needed. The WPS Leader will lead administrative services including café, stationery, vendor management, pantry, mail/shipping, on-site events, and internal communication. This role involves creating partnerships across all levels of the organization, including property management and global teams, and serving as the main contact for facility-related matters. The incumbent must understand and apply local laws and collaborate closely with various departments such as Commercial, R&D, Legal/Compliance, Security, EHS, HR, and global WPS teams.

Essential Functions
  • Manage office operations and supervise outsourcing teams.
  • Establish relationships with new vendors and procure office supplies and equipment.
  • Maintain contact lists for emergencies and manage vendor relationships.
  • Coordinate office access, business cards, and name tags.
  • Update relevant internal pages and oversee vendor onboarding.
  • Handle procurement processes, payments, and invoicing.
  • Provide office induction, safety, and corporate card support for new hires.
  • Negotiate contracts with vendors and service providers.
  • Support visitors and manage local office events and activities.
  • Coordinate with property management for new office sites.
  • Ensure safety during natural disasters and provide visitor support.
Stakeholder Support
  • Collaborate with department leaders to meet their needs.
  • Participate in leadership meetings and support call center setup.
  • Manage corporate card processes and other duties as assigned by the GM.
Support for Commercial, R&D, HR, IT, EHS, and People Management
  • Assist in procurement, logistics, and event management for various teams.
  • Support onboarding, termination, and organizational updates.
  • Manage IT stocks and Teams channels.
  • Coordinate with EHS for local standards compliance.
  • Develop and implement onsite service training and reporting.
Qualifications
  • Bachelor’s degree preferred; 10+ years’ experience in Workplace/Facilities within Pharma.
  • Excellent customer service, leadership, and organizational skills.
  • Strong communication and policy interpretation skills.
  • Fluent in English and Mandarin; additional languages a plus.
Additional Details
  • Supervisory responsibilities include hiring and team development.
  • Proficiency in Microsoft Office required.
  • Travel up to 10% within SEA.
