An established industry player is seeking a detail-oriented Administrative Officer to support various functions, including procurement, HR, and finance. This role offers the opportunity to engage with diverse stakeholders in a dynamic research environment. Working hours: 20h per week
Job Scope:
Administration, Procurement, and HR
Provide administrative support for lab and office operations, including procurement, budgeting, and inventory tracking.
Coordinate internal documentation and reporting for research grants, seed funding, and institutional submissions.
Support research members and working groups, including meeting scheduling, minute-taking, and document preparation.
Support recruitment, onboarding, and HR processes for research and academic staff, visiting scientists, and interns.
Coordinate logistics for research events such as symposiums, seminars, workshops, and webinars.
Manage the PI’s calendar, travel arrangements, and reimbursement claims.
Ensure procurement and vendor management align with institutional policies and grant terms.
Assist with other administrative duties and special projects as required.
Finance and Grant Management
Maintain accurate fund accounting, including billing, grant claims, revenue tracking, and audit support.
Monitor grant and departmental budgets, preparing regular utilisation and variance reports for the PI and management.
Liaise with research teams, funding agencies, and institutional offices for fund setup, expenditure tracking, and reporting.
Research Operations & Interfacing Functions
Facilitate coordination on matters related to research governance, data sharing, and clinical trial compliance.
Support the documentation and implementation of data security protocols in line with institutional and regulatory standards.
Oversee data sharing agreements and collaborative processes across multinational research cohorts and partner institutions.
Requirements:
Diploma in Business Administration, Life Sciences, or related field, with at least 1 year of relevant administrative experience (research or academic setting preferred).
Strong organisational and multitasking skills with attention to detail.
Excellent interpersonal and communication skills, both written and verbal.
Proficiency in Microsoft Office and familiarity with administrative systems (SAP, Concur, etc.) is advantageous.
Able to work independently, exercise initiative, and maintain confidentiality.
Comfortable interfacing with diverse stakeholders, including academics, clinicians, finance, HR, and external collaborators.
