Job description

UWCSEA is seeking a full-time Trip Safety Manager (Dual Campus) to join the Trip Safety Team.

The Trip Safety Manager (Dual Campus) is part of the Trip Safety Team, a department within the College that supports the delivery of trips. The Trip Safety Team acts as a "critical friend" to trip leaders and administrative support, and advises senior leaders on policy matters.

The Trip Safety Manager (Dual Campus) provides vital support and oversight for the College’s trip programme. They oversee trip planning, execution, and reflection in accordance with College policies and protocols. Additionally, they manage the Dover Duty Manager programme and the Trip Leader/Staff Training programme.

This role requires collaboration with trip leaders, the Outdoor Education, Sports and Activities departments, schools, Safeguarding, Finance, Procurement, and external providers supporting the trip programme, including Project Week.

Responsibilities and reporting lines may evolve over time to meet the College’s strategic and operational needs. The role involves coverage across both campuses and may require presence at each campus.

Main Responsibilities
  • Oversee all aspects of the College’s trip programme, including planning, running, and reflection.
  • Support trip leaders with risk assessments, budgeting, third-party evaluations, and trip preparations; escalate concerns as needed.
  • Ensure policies and processes on trip management are current and effective; advise staff and provide training on trip policies and standards.
  • Review incident, accident, and near-miss reports to identify areas for improvement.
  • Coordinate with travel emergency response and insurance providers to ensure effective incident support.
  • Conduct site visits and risk assessments of external sites and providers, training staff as appropriate.
  • Work with IT to ensure CIMS modules meet policies and are fit for purpose.
  • Manage the Dover Duty Manager programme, including roster management, recruitment, and training.
  • Conduct risk assessments for Project Week locations and train supervisors and OSS on trip risks and responsibilities.
  • Undertake additional duties as required.
Person Specifications
  • Degree in relevant subjects with outdoor education qualifications and experience in expeditions and outdoor activities.
  • Minimum 5 years’ experience in leading expeditions involving adventurous activities, preferably in a K-12 educational context.
  • Familiarity with trip risk assessments, site visits, and vendor evaluations.
  • First Aid certification (Wilderness First Aid or similar advantageous).
  • Excellent communication and interpersonal skills.
  • Intercultural competence and ability to work in a multicultural environment.
  • Resource management, decision-making, problem-solving, teamwork, delegation, ownership, credibility, coaching, motivation, project management, results orientation, dependability, and commitment.
