Position: Travelling Assistant to UHNW Couple

Overview

This is a hands-on, all-encompassing private assistant role supporting a UHNW couple with a highly mobile lifestyle.

The position requires a self-directed, resourceful individual capable of operating with discretion, foresight, and efficiency across multiple time zones and environments.

The ideal candidate will have excellent logistical instincts, sound judgment, and the practical common sense to anticipate needs and resolve issues independently.

This role involves both travel-based responsibilities and administrative support at the couple’s residence when not on the road.

It demands professionalism, adaptability, and an ability to thrive in a fast-paced, high-expectation environment.

Travelling

Location: Americas, Europe, Middle East, and Asia

Primary Responsibilities

Travel Coordination

  • Plan and book international and domestic travel, including flights (commercial and private), hotel accommodations, ground transportation, and visa arrangements

  • Coordinate flight schedules with daily itineraries and time zone changes

  • Manage all hotel bookings, pre arrival preparation, and ensure a smooth arrival, stay and departure

  • Ensure all travel documentation (passports, visas, insurance, vaccination records) is valid and in order

  • Develop and manage comprehensive travel itineraries including appointments, leisure activities, dining, and meetings

Daily Logistics & Lifestyle Management

  • Research, book, and confirm restaurants, wellness appointments, cultural activities, and personal errands

  • Coordinate with hotels, concierge teams, restaurant managers, drivers, and local contacts to ensure seamless service

  • Maintain close oversight of all daily schedules, adjusting as needed in real time

Expense & Budget Management

  • Monitor and manage travel budgets in real time, ensuring cost-effective decisions without compromising quality or standards

  • Track and reconcile all expenses related to travel: accommodations, transportation, meals, incidentals, and vendor fees

  • Maintain accurate records and provide detailed, well-organized reports to the accounts team or designated financial managers

  • Ensure all receipts and invoices are documented, categorized, and submitted promptly

On-Site Support for Business & Personal Commitments

  • Arrange and oversee logistics for meetings, events, and engagements

  • Prepare locations, manage timing and transitions, and ensure discretion and readiness

  • Capture high-quality photographs during travel and key events; manage photo storage and digital records

Basic IT Support

  • Set up and troubleshoot devices including Apple TV, Android and iOS smartphones, wireless accessories, and portable tech

  • Resolve common WiFi or connectivity issues in varying environments

  • Ensure all devices are fully functional, secure, and ready for use during travel

Contingency & Problem Solving

  • Handle last-minute changes, disruptions, or unexpected issues with discretion and speed

  • Maintain backup plans and alternatives at all times

  • Anticipate needs and proactively solve issues before they arise

When not travelling

Location: Singapore and/or Dubai

Primary Responsibilities

Household & Administrative Support

  • Work alongside household staff to support smooth daily operations

  • Manage external contractors, service providers, and vendors: scheduling, supervision, and quality control

  • Track and renew service agreements and AMCs (Annual Maintenance Contracts)

HR & Personal Administration

  • Maintain HR records for household staff: annual leave scheduling, shift rosters, health insurance renewals, and residence visa documentation

  • Liaise with legal and HR professionals as required for visa and employment-related matters

Financial & Reporting Duties

  • Liaise with the accounts team to ensure all payments (services, vendors, travel expenses) are processed in a timely and organized manner

  • Review and reconcile invoices; flag discrepancies and ensure proper documentation is in place

  • Prepare regular monthly operational reports summarizing activities, expenses, and outstanding actions

Project & Ad Hoc Support

  • Oversee short- and long-term projects as requested (e.g. home renovations, new purchases, research assignments)

  • Execute personal or business-related tasks as required, maintaining a high standard of delivery and discretion

  • Maintain clear records, timelines, and communication for all ongoing tasks

Requirements

  • Prior experience in a similar role supporting UHNW individuals or senior executives

  • Demonstrated ability to coordinate complex travel logistics and multi-region itineraries

  • Strong written and verbal communication skills; fluent English required

  • High proficiency with smartphones, tablets, Apple/Android ecosystems, and general troubleshooting

  • Valid passport with broad visa-free or eVisa access (a passport with global access is key); additional languages are a plus

  • Calm under pressure, adaptable, and solutions-driven
