Job description

Join our dynamic Team as a People Development & Response Coordinator and be at the forefront of shaping the future of training solutions in the region! Unleash your potential to drive growth, innovate, and make a meaningful impact with us.

Purpose of the role:

Support staff development and overall response readiness through the booking of mandatory and elective training. Provide administrative and coordination support to the Singapore Response function to ensure that responders are well utilised and able to reach their full potential.

Key responsibilities:

  • Book mandatory and elective training for all staff in the region as required
  • Manage the training cycle (from learning needs analysis to evaluation)
  • Build and maintain relationships with training providers
  • Maintain accurate training records in SharePoint, the LMS and NetSuite
  • Support the Regional Lead to maximise the available L&OD budget to meet the learning needs of colleagues in the region
  • Leverage external opportunities for funding support and act as the primary claimant on behalf of the company. Administer claims on the government portal and ensure that funds are credited to the correct department.
  • Support the daily resourcing of the Response department in collaboration with the Resourcing function and the response team leaders so that scheduling is completed in a timely and proactive manner.
  • Support the Technical Training Team in the planning and organisation of ‘offline’ training courses, and other internal training activities.
  • Working with L&D and other internal stakeholders, support the collection and assessment of technical competence data such as TPR assessment and the translation to staff competency matrix to support the right person, right time philosophy can be realised.
  • Manage the SG Response Duty Rota including the regional contribution to the global ‘go team’.
  • Provide administrative support to the management of Reservist competence and wider readiness information.
  • Support and assist Response staff in visa applications such as letter of invitation and update visa status in Response database.
  • Ensure that Response staff vaccinations and OGUK are up to date, arranging for appointments to maintain travel readiness status in collaboration with HR.
  • Support Response team leaders in organising Response department away days, team bonding and other related staff engagement activities

Support Response department administration such as the procurement of pantry items, raising of purchase requests, filing etc

Delivery of miscellaneous administration tasks as required. Tasks include but are not limited to:

  • Collection of daily mail for staff
  • Managing application of corporate mobile phones for staff including lost sim card/mobile phones
  • Coordinate with related functions on QR code entry to Base, preparation of staff pass and welcome pack for new hires to be given on the first day of work.

Requirements:

  • Diploma in Business Administration or secretarial qualification would be an advantage.
  • Excellent communication and interpersonal skills.
  • Proactive attitude and ability to undertake additional tasks and projects as assigned by management.
  • Proficient in use of Microsoft Word, Excel, PowerPoint.
  • Ability to use internal software such as NetSuite.
  • Able to manage and prioritize his/her own workload according to the constantly changing priorities and deadlines of the various tasks and responsibilities assigned.
  • Experience in dealing positively with a wide range of people including senior management.
