Job description

Our client seeking a detail-oriented and proactive Business Administration Executive to support our Business Manager in overseeing trade operations and internal administrative functions. This role is critical in ensuring the smooth execution of contracts, accurate documentation, and effective communication with both internal and external stakeholders.


Key Responsibilities:

  • Assist the Business Manager in handling trade contracts, ensuring accuracy, compliance, and timely follow-up.
  • Monitor the execution of contracts, implement risk control measures, and issue early warnings for any potential delays or issues.
  • Prepare and manage international trade documents, assign payment collections, and submit payment requests in a timely and accurate manner.
  • Archive original contracts and associated documents following the completion of execution, ensuring proper documentation and compliance.
  • Handle the reception and coordination of visiting clients, ensuring a professional and welcoming experience.
  • Maintain accurate records of business activities and compile comprehensive weekly, monthly, and annual performance reports for management review.
  • Manage procurement and inventory of daily office supplies, ensuring cost-efficiency and availability.
  • Review, verify, and oversee all external contracts of the company, ensuring alignment with company policies and legal requirements.
  • Coordinate with internal departments to support administrative needs and facilitate smooth business operations.
  • Support additional administrative or operational tasks as assigned by management.

Requirements:

  • Diploma or degree in Business Administration, International Trade, or a related field.
  • Prior experience in contract administration, trade documentation, or business operations is preferred.
  • Strong organizational and time management skills, with keen attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with ERP or documentation systems is a plus.
  • Strong communication skills, both written and verbal.
  • Ability to work independently as well as collaboratively in a team-oriented environment.
  • Proficiency in Manadarin, with strong communication skills in a business context as you will be communicating with Chinese internal & external stakeholders.
