About
We are seeking a highly organised and motivated individual to join our editorial team as an Editorial Assistant (engaged on six month contract, with possibility of renewable). The Editorial Assistant will provide administrative support to the Director, editors and members of the Editorial Board in the coordination of all Singapore Journal of Tropical Geography (SJTG) related activities, including manuscript processing, communication with authors, reviewers and the publisher, and organizing editorial meetings. The SJTG is an academic journal in the disciplines of Geography/Environmental Sciences/Earth Sciences, publishing high-quality research focused on the tropics (low latitudes). This is an exciting opportunity to gain insight into scholarly publishing and contribute to the smooth running and development of a widely respected academic journal.
Job Description - Part 1
Copyediting/Proofreading
- Review, copyedit and proofread academic manuscripts for grammar, spelling, punctuation, style, readability and formatting, ensuring consistency with the journal’s house style
- Flag potential issues such as missing references, problematic phrasing, or inconsistent terminology to authors in a cordial and professional manner
- Maintain, update, and preserve the integrity of the house style checklist
- Correspond with authors, peer reviewers, co-editors, associate editors, and production editors, to ensure professional and timely publication of all issues within the calendar year
- Oversee work of typesetters and the production team as a whole
- Oversee the copyediting work of graduate students (where necessary)
Job Description - Part 2
Administration of publishing process
- Manage submissions and reviews on the publisher’s manuscript submission, review and screening platforms
- Update journal page on publisher’s website
- Manage the appointment and payment of graduate students (where necessary) via the NUS Student Work Scheme
- Extract, compile, and submit various reports to EIC/Director on the Journal from the publisher’s manuscript management platforms or NUS financial systems
- Review, discuss, and resolve problems/issues relating to editorial processes through regular meetings with the co-editors
- Prepare agenda and various publication pipeline documents prior to editorial meetings
- Take minutes at editorial meetings and attend to and monitor follow-up actions afterward
- Manage the appointment of International Advisory Board and Editorial Board members
- Assist Director with Publishing Contract
- Manage the disbursement/publicity of SJTG-related awards/sponsorships
- Monitor and create invoices for the publisher’s timely payment of royalties, editorial and copyediting fees
- Any other reasonable request from the Director or editors that relates directly to the production of the SJTG.
Qualifications
Essential:
- A high level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and manuscript tracking systems (or ability to quickly acquire relevant technical skills).
- Ability to work independently and as part of a team, and to manage multiple tasks simultaneously.
Desirable:
- Prior experience working with an academic journal or in a research support role.
- A diploma or degree.
- Familiarity with ethical standards in scholarly publishing (e.g., COPE guidelines).
