Job description

Responsibilities

Reception Coverage (including travel to Secondary Location as needed):

  • Serve as the first point of contact for visitors and clients

  • Offer and serve beverages to guests

  • Answer and direct incoming calls professionally

  • Manage incoming and outgoing mail and deliveries

  • Maintain a clean, organized, and welcoming reception area

  • Coordinate meeting room bookings and assist with room setup

  • Communicate and liaise with internal departments as required

Logistical & Administrative Support (when not covering reception):

  • Provide general administrative support, including data entry, filing, scanning, and document preparation

  • Assist with scheduling meetings, coordinating room bookings, and setting up equipment

  • Order and manage office supplies and maintain inventory

  • Support the planning and execution of company events, workshops, and internal meetings

  • Liaise with vendors and service providers to support facilities and operational needs

  • Source and compare quotations for goods or services

  • Maintain accurate records and ensure adherence to company administrative procedures

Requirements

  • Proven experience in a reception, administrative, or office support role within a corporate setting

  • Willingness and ability to travel to the Secondary Location on short notice for reception coverage

  • Strong organizational and multitasking skills

  • Excellent communication and interpersonal abilities

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Discreet and professional in handling confidential information

  • Reliable, punctual, and responsible
