A leading company in Singapore is seeking a Reception and Administrative Support professional. This role includes managing reception duties, offering logistical and administrative support, and ensuring an organized workspace. Ideal candidates should possess strong organizational, communication, and multitasking skills, along with proven experience in similar roles.
Responsibilities
Reception Coverage (including travel to Secondary Location as needed):
Serve as the first point of contact for visitors and clients
Offer and serve beverages to guests
Answer and direct incoming calls professionally
Manage incoming and outgoing mail and deliveries
Maintain a clean, organized, and welcoming reception area
Coordinate meeting room bookings and assist with room setup
Communicate and liaise with internal departments as required
Logistical & Administrative Support (when not covering reception):
Provide general administrative support, including data entry, filing, scanning, and document preparation
Assist with scheduling meetings, coordinating room bookings, and setting up equipment
Order and manage office supplies and maintain inventory
Support the planning and execution of company events, workshops, and internal meetings
Liaise with vendors and service providers to support facilities and operational needs
Source and compare quotations for goods or services
Maintain accurate records and ensure adherence to company administrative procedures
Requirements
Proven experience in a reception, administrative, or office support role within a corporate setting
Willingness and ability to travel to the Secondary Location on short notice for reception coverage
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Discreet and professional in handling confidential information
Reliable, punctual, and responsible
