A global shipping consulting firm in Singapore seeks an experienced Technical Assistant (Claims) to coordinate marine fuel disputes. Responsibilities include logging claims, drafting communications, and maintaining documentation. We are looking for an experienced and detail-oriented Technical Assistant (Claims) for one of our global shipping clients. The role will be involved in the end-to-end coordination of marine fuel disputes, ensuring compliance, accuracy, and structured communication throughout the claim lifecycle. The ideal candidate should have a min 2 years of experience in a bunker trading company or marine fuels environment, with exposure to claims handling, operations support, or vendor documentation.
Responsibilities:
• Accurately log all incoming claims into the internal claims system and upload supporting documentation in line with company SOP.
• Draft and issue formal communications to customers and suppliers using company-approved templates.
• Review and organise all technical and commercial documentation required to support each claim, including BDNs, CoQs, surveys, and laboratory reports.
• Ensure all verbal and WhatsApp communications are formally recorded and confirmed via email.
• Monitor the status of active claims, maintaining a clear audit trail and timeline for each case.
• Categorise and escalate claims appropriately using the company’s Claim Involvement Matrix.
• Assist in the preparation and documentation of financial settlements, including processing of credit notes.
• Contribute to supplier performance evaluations and assist in updating internal records following claim closures.
• Ensure full compliance with ISO 9001 quality procedures and ISCC EU framework requirements.
Qualifications:
• Diploma or Degree in Business, Shipping, Maritime Operations, or a related field.
• Certificate in Bunkering Operations & Management (Lloyd’s Maritime Academy) and/or IBIA Alternative Fuels training is preferred.
• Minimum 2 years of experience in a bunker trading company or marine fuels environment, with exposure to claims handling, operations support, or vendor documentation.
• Strong attention to detail with a clear and methodical approach to document control.
• Proficient in written communication and confident in drafting structured, professional emails.
• Familiarity with marine fuel specifications (ISO 8217), MARPOL Annex VI, and commercial terms (e.g., BIMCO, supplier GTCs) is advantageous.
• Comfortable working in digital environments, including CRM systems, shared drives, and collaborative platforms.
