We are seeking an organized, resilient, and proactive Team Coordinator to deliver high-level administrative and operational assistance to executive leadership and department operations. This role requires handling competing priorities, managing sensitive data discreetly, and ensuring efficient cross-functional alignment in a fast-paced environment.
Oversee executive scheduling, resolve calendar conflicts, and maintain complete visibility over upcoming leadership engagements.
Organize internal and cross-departmental meetings, including setup, virtual links, agenda preparation, document distribution, and action-item tracking.
Handle end-to-end travel logistics, including flight bookings, detailed itineraries, visa processing, and expense management.
Process expense reimbursements, compile claims, monitor payments, and assist with general invoicing needs.
Draft and edit key communications, presentation decks, operational reports, and leadership documentation.
Act as a central point of contact between executive offices, department members, and key external stakeholders.
Maintain confidential records and support general team operations, including onboarding activities, venue sourcing, and ad-hoc department initiatives.
Bachelor's Degree or equivalent
2 to 3 years of experience in an administrative, team coordination, or executive support role.
Proven proficiency with digital productivity tools (Microsoft Office or Google Workspace).
Outstanding time management and organizational capabilities with strong attention to detail.
Demonstrated discretion when handling confidential information.
Ability to work autonomously and manage ambiguity with minimal direct supervision.
Previous experience supporting leadership within tech, engineering, or fast-growing business environments.
Basic exposure to corporate procurement, finance tracking, or cross-functional project management.
