Job description

We are seeking a highly organized, proactive, and tech-savvy Team Admin / Administrative Assistant to support our client's leadership team in a fast-paced technology environment. In this part-time role, you will play a crucial part in ensuring the day-to-day operations and priorities of our executives run smoothly—keeping communication sharp, schedules on track, and critical tasks moving forward.

This is a part-time contract role for 6-12 months. Work location: CBD Area

Key Responsibilities

  • Manage and coordinate calendars, meetings, and travel arrangements for executives
  • Prepare meeting agendas, take detailed notes, and follow up on action items
  • Support internal and external communications with professionalism and discretion
  • Assist with presentation materials, reports, and light data entry or analysis
  • Act as a liaison between executive leadership and internal teams or external partners
  • Maintain confidentiality and handle sensitive information with integrity
  • Perform general administrative duties as needed (e.g. expense reports, document filing, onboarding support)

Qualifications

  • 3+ years of experience in an executive support or administrative role
  • Exceptional organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace, Microsoft Office, and virtual collaboration tools (e.g. Zoom, Slack, Notion)
  • Comfortable in a fast-paced, tech-driven, and evolving environment
  • Self-starter with a high level of discretion and attention to detail
