Responsibilities:
Mails and general correspondences
Responding to emails and follow up when necessary
Distributing incoming faxes to various team members
Meeting Management
Booking of meeting rooms and ensuring all necessary equipment is set up before commencement of meeting
Sending out calendar invite to respective parties
Preparing of reports and presentation materials
Booking of Hotel and Air Tickets in accordance with Client’s travel policy
Submitting necessary documents for travelers
Submitting travel approval & meeting agenda
Events Management
Booking of event venue
Handling logistics for external meetings
Call Management
Handling all telephone calls and messages in a timely and professional manner
Visitor Management
Attending to all guests in a friendly and professional manner
Other Duties
Administering expense claims in adherence to existing guidelines
Orientation of new employees in the team
Assisting in training enrolment
Updating of contact databases and department leave calendars
Back up for reception duties during Receptionist lunch time and toilet breaks
Back-up for PA to Senior Country Manager in the absence of Administrator
Other Administration duties as required by the Client (including file management and archive)
Sending of corporate gifts and greeting cards during festive occasions, maintain general workplace cleanliness.
Qualifications:
A Degree in Business Administration or related courses
With 10-12 years of relevant experience
With relevant background in Banking is preferred or from financial institutions
Experience managing international stakeholders
Reception, telephone service, and customer service skills
Excellent written and spoken English communication skills (email, business calls, etc.)
Knowledge on basic PC operation
Amenable to work in standard working hours in Singapore office
