About the role

We are seeking a dynamic and detail-oriented Student Support Services cum Admin Executive to join our vibrant team at Kindle Kids International School in Singapore. This full-time role will be responsible for managing the student support process and providing comprehensive administrative support to ensure the smooth running of our growing school.

What you'll be doing

Job Duties and Responsibilities

A. STUDENT SUPPORT & ADMIN – MAIN DUTIES:

1. Generate Monthly Student Attendance Report and timely submission to School Coordinators.

2. Daily monitoring of Student Class Attendance and ensure complete filing of approved leave application. Follow up with Advisory Teachers on Leave Application, if required.

3. In-charge of maintaining up-to-date monthly Student Course Withdrawal Listing.

4. In-charge of maintaining, checking and updating Student Personal files.

5. Performs in purchasing, monitoring and tracking Fee Protection Scheme (FPS) cover and expiry dates.

6. Performs in compiling database and reports for FPS Data File 1.

7. In-charge of school bus transport issues and requests and liaison between parents & bus coordinator.

8. Compile student survey data (Student Satisfaction Survey and End Course Survey).

9. Assists in providing support on parents’ enquiries.

10. Ensure effective customer service management to KKIS stakeholders.

11. In-charge of the PA system school-wide.

12. Checks and responds to KKIS Admin Desk email daily.

13. In-charge of KKIS Admin Desk phone (+65 6568 3984).

14. In-charge of procurement of office stationery and disbursement to staff.

15. Assists with day-to-day operations in the office.

16. Daily processing of order forms (textbooks and uniforms) and collate disbursement every Mon & Wed.

17. Monthly maintenance of first aids kits inventory and update first aider poster when required

18. Involved in stock taking textbooks and uniforms as organized by corporate services.

19. Assists in bus duties during student dispersal time.

20. Any other assigned duties from time to time.

21. Maintain friendly and professional dealings with all the internal and external customers.

22. Involved in promotional and marketing activities such as open houses, road shows, school activities and events.

B. STUDENT ADMISSIONS – SECONDARY DUTIES:

1. Assists in handling admission process by ensuring all required documents are duly signed by the parent and support documents are certified by the admission team.

2. Assists in conducting Student Orientation for new students and parents.

3. Assists in processing Student Pass Application and monitor / track Student Pass Expiry.

4. Assists in maintaining up-to-date student master database and maintaining up-to-date course transfer listing.

  • What we're looking for

  • Minimum 2-3 years of experience in a similar administrative or customer service role, preferably in an educational or client-facing environment

  • Strong organisational and time management skills, with the ability to multitask and prioritise effectively

  • Excellent communication and interpersonal skills, with a friendly and professional demeanour

  • Proficient in using Microsoft Office suite and the ability to learn new software and systems quickly

  • Keen attention to detail and a commitment to maintaining high-quality data and records

  • Ability to work collaboratively as part of a team and independently when required
