We invite suitable candidates to apply for the Student Administration Senior Executive role with our Academics Office to provide support to the Academic team on all undergraduate matters.
A Senior Admin Executive in a university, particularly for FYP (Final Year Project), MDP (Multidisciplinary Design Project), and Internship projects, will be responsible for providing comprehensive administrative support to ensure the smooth execution of these programs.This includes managing student records, facilitating communication between stakeholders, coordinating logistics, and maintaining project documentation.The role also involves ensuring compliance with university policies and procedures, as well as contributing to the overall efficiency and effectiveness of the programs.
Responsibilities:
Final Year Project (FYP) Administration
Manage end-to-end FYP registration (student application, supervisor allocation, approvals)
Maintain and update FYP database
Planning of FYP timelines such as submission deadlines and oral presentation
Manage program budgets and track expenses
Serve as a key point of contact for students, faculty, and external partners (Industrial FYP) regarding administration of program-related matters
Facilitate communication between students, supervisors, and external parties
Manage FYP-role based email
Multidisciplinary Design Project (MDP) Administration
Coordinate project listings and student applications
Liaise with MDP coordinators on MDP registration/withdrawal for grouping
Manage end-to-end MDP registration (student application, supervisor allocation, approvals)
Internship Project Administration
Collaborate with Career Attachment Office (CAO) to ensure successful student internship placements (PA/PI)
Coordinate internship registration processes aligned with academic requirements
Maintain accurate records of internship project assignments
Review student’s appeal for internship shifting request based on CCDS policy
Course Registration
Work with academic studies unit in other school for second major student course registrations
Monitor class enrolment and quota
Address student queries and registration issues promptly
General Administrative & Event Support
Assist in exam marks verification and cross-checking
Prepare, provide, submit and maintain various types of reports and statistical information as required
Providing support to update programme websites and digital resources
Be rostered for student service counter duties
Provide logistics/admin support at university or faculty-level events (Open House, Orientation, Commencement, etc.)
Perform any other duties as assigned by the Academic Dean or Department Head
Requirements
Bachelor’s degree with 3 years of relevant experience, preferably in an educational institution
IT savvy, proficient in MS Office applications and database management systems
Meticulous and organized, with the ability to multi-task
Proactive, analytical, and resourceful
Ability to work in a team
Excellent interpersonal and communication (oral and written) skills
Good sense of initiative and responsibility and positive working attitude
Ability to manage stressful situations
Be highly adapted to changes
