GESS is looking to recruit a temporary staff member to work in the school shop over the busy summer period. This role will be an hourly paid part-time position at S$20/hour.

Job Purpose
  • Ensure the smooth operation of the receiving function of procurement.
  • Conduct and ensure RCP for all items delivered to school and delivery to designated locations.
  • Manage records and documentation related to RCP and delivery confirmation, maintaining high standards of accuracy in the ERP system and hard copies.
  • Assist with inventory management, including stock in and stock take.
  • Support the development and maintenance of the storage room.
  • Provide high-quality and dedicated services to parents, students, visitors, and GESS staff.
  • Support school shop operations as needed.
  • Possess good team spirit and excellent communication skills.
  • Perform all duties satisfactorily and in a timely manner.
Key Accountabilities
Receiving and SOPs
  • Carry out RCP for all received items accurately and efficiently on the ERP system.
  • Submit payment documentation, such as invoices and delivery orders, promptly.
  • Arrange for requestors’ collection or delivery to designated locations when necessary.
  • File and manage records related to RCP and delivery confirmation, maintaining accuracy.
  • Liaise with suppliers regarding non-delivered or damaged goods for replacement or credit notes.
  • Handle RCP and stock-in for bulk overseas orders promptly.
  • Follow all procurement SOPs.
Storeroom and Shop Support
  • Support school shop operations during staff absence or workshops.
  • Assist with stock take during term breaks.
  • Stock in and deliver shop items timely.
  • Communicate effectively with teachers, students, and parents.
  • Comply with health and safety regulations and policies.
  • Maintain tidiness and monitor risks in the storeroom.
General Administration
  • Utilize Excel, Word, etc., for reporting and analysis.
  • Support colleagues during busy periods or absences.
  • Report operational issues promptly.
  • Perform ad hoc tasks as assigned.
  • Record and monitor concerns, providing recommendations.
Pipeline Projects
  • Assist in streamlining internal processes and developing policies.
  • Support procurement and school shop projects, SOPs, and policies.
  • Perform other tasks as assigned by the Procurement Manager or Head of Finance.
Knowledge and Experience
  • Knowledge of school shop items, including stationery, supplies, and teaching materials.
  • Strong communication and problem-solving skills.
  • Proficient in English, both written and verbal.
  • Self-motivated, culturally aware, and team-oriented.
  • A bachelor’s degree is preferred.
Technical and Soft Skills
  • Customer service experience with excellent stakeholder communication.
  • Stress management, patience, and proactive problem-solving.
  • Experience with debt collection and customer follow-up.
  • Proficient in Synergetic, intermediate in MS Office.
