Responsibilities:

Freight Import & Export Management:

  • Be responsible for the import and export activities.
  • Request freight rate quotation from forwarders – biweekly or monthly pricing.
  • Coordinate with internal and external parties to prepare documents for importation and exportation.
  • Manage forwarders to process entire shipping process, including but not limited in booking shipments, verifying shipping documents and monitoring of shipments ETD/ETA etc.
  • Be responsible for the payment for the supplier and Treasury team to ensure the accuracy of the details stated in the Letter of Credit (LC) draft, before submitting to the bank for issuance.
  • Ensures cargo clearance permits are valid and informs Finance/Treasury of estimated customs duties.
  • Works closely with forwarders to achieve smooth customs clearance and coordinates inventory delivery to warehouses or project sites.
  • Informs the Treasury team ahead of ETA to ensure accounts are funded for the deduction of any customs duty payment.
  • Handles Certificate of Origin (COO) documentation and import/export customs processes.

Inventory Management:

  • Collaborate with various departments, like E&C, BD, AO and also SCM internal members to understand the key components and other materials requirements.
  • Processes material requests for respective projects, coordinating with the warehouse to issue accurate delivery orders for inventory collection.
  • Performs weekly/monthly inventory reconciliation, identify discrepancies of records on system against warehouse, and find out root clause(s) of any shortages or excesses.
  • Monitors inventory levels to ensure safety stock level are met.
  • Inputs corresponding data of received and delivered inventories into the system upon receival of actual inventory to maintain accurate inventory records.
  • Ensures ethical disposal of damaged inventories in accordance with respective countries regulations.
  • Liaising with 3PL on stock take dates (year end).

Delivery and Logistics:

  • Cross-checks requests from PMs against drawings before coordinating deliveries or collection with the warehouse.
  • Ensure proper documentation is in place for any collections, deliveries, and receiving of inventories. Collaborates with third-party logistics providers (3PLs) for transportation and warehousing needs.
  • Coordinates with warehouse and project managers to ensure smooth delivery or collection of inventories.

Data Management:

  • Maintain data integrity for inventory, purchase orders, and shipping documents.
  • Perform data entry into the inventory Excel sheet for real-time monitoring.

Requirements:

  • Degree or Diploma in Supply Chain Management, Logistics or equivalent.
  • At least 4 years relevant working experience.
  • Strong organizational and communication skills.
