The Senior Administrative Assistant will be responsible to assist the Operations Team and Nurse Manager in the daily administrative tasks of the A&E department. To facilitate patient flow processes in A&E Care Centre, perform administrative requests and address feedback received to enhance patient experience.
MAJOR DUTIES AND RESPONSIBILITIES
(A) SPECIFIC
- Data Management Role
- To assist with collation and generation of the official and adhoc reports of the department.
- To send the official and adhoc reports to designated stakeholders in a timely manner.
- To assist with ordering of department items including consumables, stationeries, budgeted and adhoc items.
- To assist with activities that help to maintain and improve the department's cleanliness and tidiness.
- To prepare and assist with the induction activities of new staff supporting the Operations Team.
- To support nursing administrative tasks as requested.
- Management of flow and decantment of patients Role
- Decantment
- To work with A&E doctors, nurses and Patient Service Associates (PSAs) to:
- Identify patients suitable for decant to the following institutions:
- another acute hospital
- community hospital
- nursing or care home
- Halt assignment of beds prior to confirmation/rejection of decant offer.
- Approach patients/Next-Of-Kins to offer decant.
- Process decant paperwork with PSAs.
- Follow-up to ensure transfer is completed.
- Urgent referrals (<5 days)
- To follow up with Customer Contact Centre or the respective Specialist Outpatient Clinics on the appointment taking of A&E urgent referrals (<5 days).
- Referral reverts
- When Customer Contact Centre returns an A&E referral back to A&E (e.g. when referred department suggests an alternative referral destination), Senior PSA to:
- Seek the opinion of the attending doctors who know the cases first-hand.
- Consult the P3 A&E senior doctor on duty for their assessment of the referrals.
- Patient Administration System (SAP) error cases
- To follow up on the rectification of SAP error cases including:
- Error (C&S Report) Rectification, in SAP within 3 days.
- Escalating Information Technology-related errors to Electronic Medical Record (EMR) and SAP teams.
- Extended Diagnostic Treatment Unit cases exceeding 24 hours.
- Patient Experience Ambassador
- To coordinate with the clinical and operations teams to address feedback received on the ground in a timely manner to enhance patient experience.
- To coordinate on settlement of patients with discharge issues with nursing and medical social workers.
- (B) GENERAL
- To support corporate activities and community projects.
- To participate in the execution of the Department Action Plan.
- Takes on additional responsibilities or tasks as assigned by the Manager.
JOB REQUIREMENTS
(A) EDUCATION, TRAINING AND EXPERIENCE
- Minimum Diploma Holder.
- Relevant working experience is preferred.
- Good communication and interpersonal skills.
- Possess positive attitude, initiative, and keenness to learn.
(B) SPECIALISED TRAINING
- Knowledge of Microsoft Office.
- Knowledge of statistics.
