Job description

The Senior Administrative Assistant will be responsible to assist the Operations Team and Nurse Manager in the daily administrative tasks of the A&E department. To facilitate patient flow processes in A&E Care Centre, perform administrative requests and address feedback received to enhance patient experience.

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

  1. Data Management Role
    1. To assist with collation and generation of the official and adhoc reports of the department.
    2. To send the official and adhoc reports to designated stakeholders in a timely manner.
    3. To assist with ordering of department items including consumables, stationeries, budgeted and adhoc items.
    4. To assist with activities that help to maintain and improve the department's cleanliness and tidiness.
    5. To prepare and assist with the induction activities of new staff supporting the Operations Team.
    6. To support nursing administrative tasks as requested.
  2. Management of flow and decantment of patients Role
    1. Decantment
      1. To work with A&E doctors, nurses and Patient Service Associates (PSAs) to:
        1. Identify patients suitable for decant to the following institutions:
        2. another acute hospital
        3. community hospital
        4. nursing or care home
      2. Halt assignment of beds prior to confirmation/rejection of decant offer.
      3. Approach patients/Next-Of-Kins to offer decant.
      4. Process decant paperwork with PSAs.
      5. Follow-up to ensure transfer is completed.
    2. Urgent referrals (<5 days)
      1. To follow up with Customer Contact Centre or the respective Specialist Outpatient Clinics on the appointment taking of A&E urgent referrals (<5 days).
    3. Referral reverts
      1. When Customer Contact Centre returns an A&E referral back to A&E (e.g. when referred department suggests an alternative referral destination), Senior PSA to:
        1. Seek the opinion of the attending doctors who know the cases first-hand.
        2. Consult the P3 A&E senior doctor on duty for their assessment of the referrals.
      2. Patient Administration System (SAP) error cases
        1. To follow up on the rectification of SAP error cases including:
          1. Error (C&S Report) Rectification, in SAP within 3 days.
          2. Escalating Information Technology-related errors to Electronic Medical Record (EMR) and SAP teams.
          3. Extended Diagnostic Treatment Unit cases exceeding 24 hours.
        2. Patient Experience Ambassador
          1. To coordinate with the clinical and operations teams to address feedback received on the ground in a timely manner to enhance patient experience.
        3. To coordinate on settlement of patients with discharge issues with nursing and medical social workers.
    4. (B) GENERAL
      1. To support corporate activities and community projects.
      2. To participate in the execution of the Department Action Plan.
      3. Takes on additional responsibilities or tasks as assigned by the Manager.

    JOB REQUIREMENTS

    (A) EDUCATION, TRAINING AND EXPERIENCE

    1. Minimum Diploma Holder.
    2. Relevant working experience is preferred.
    3. Good communication and interpersonal skills.
    4. Possess positive attitude, initiative, and keenness to learn.

    (B) SPECIALISED TRAINING

    1. Knowledge of Microsoft Office.
    2. Knowledge of statistics.
