Job description

Secretlab is an international gaming chair brand seating over 3 million users worldwide, with our key markets in the United States, Europe and Singapore, where we are headquartered.

You will be a valued member of our Brand Experience (BX) team, overseeing all retail, activations, and brand touchpoints globally. In this dynamic role, you will execute all coordination work of our events including vendor coordination and management, exhibitor and booth management, compliance and permits, on-site operations and logistics management. This role requires you to be comfortable travelling alone to oversee the booth operations.

Our Brand Experience team is focused on making Secretlab’s products physically accessible to our international audiences and cementing our position as the ergonomic chair of choice. This includes being a part of collaborative efforts with world-renowned brands such as Game of Thrones, Batman, Harry Potter and Lamborghini, as well as international esports organisers such as Riot Games for their League of Legends global tournaments.

Responsibilities

Event Management and Operations

  • Oversee booth setup, installation, and teardown, ensuring proper execution within scheduled timelines.
  • Manage on-site operations such as customer interaction, order processing, inventory management, and point-of-sale systems set up.
  • Lead the on-site team to ensure smooth execution of the event.
  • Plan and execute all event logistics including transportation, accommodation, material handling, and itineraries.
  • Coordinate freight access and ensure timely pickup and delivery of booth structures and display products.
  • Ensure all necessary permits, such as permits-to-sell, are obtained for each event.
  • Manage public liability insurance and Certificates of Insurance (COI) requirements, ensuring all compliance standards are met.

Vendor and Exhibitor Management

  • Lead external vendor coordination to ensure timely delivery of necessary services and materials for events.
  • Oversee vendor relationships. This includes (but not limited to) managing Request for Quotes , negotiating contracts, and scheduling booth installation/dismantling.
  • Review exhibitor manuals and extract key information such as load-in/load-out schedules, installation guidelines, and deadlines.
  • Handle all exhibitor submissions including profiles, booth designs, badges, and credentials.

Project Management

  • Oversee department timelines using ClickUp or similar project management tools, ensuring all deadlines are met.
  • Manage and monitor event budget, balancing between cost-effectiveness & operational efficiency.
  • Proactively identify and resolve challenges, developing contingency plans when necessary to ensure smooth event execution.

Requirements

  • At least 4-6 years of experience in event management, with a strong focus on logistics, vendor coordination, and on-site operations.
  • Experience managing multiple events simultaneously, especially in a global context.
  • Expertise in negotiating, managing, and coordinating with a variety of vendors, as well as planning/executing event logistics.
  • Proficient in project management tools (e.g., ClickUp, Asana, Trello) to manage timelines, track progress, and ensure timely completion of tasks.
  • Knowledge of the necessary permits and compliance requirements for events, particularly in different regions (e.g., North America).
  • Ability to manage event budgets, ensuring cost-effectiveness while maintaining high operational standards.
  • Excellent verbal and written communication skills, with the ability to effectively interact with internal and external stakeholders.
  • Strong leadership skills to manage on-site teams and ensure smooth event execution.
  • Meticulous attention to detail to ensure all aspects of the event, from setup to teardown, are executed flawlessly.
  • Strong on-site improvisation skills and proactive in identifying potential issues to avoid disruptions during the event.
  • Ability to lift and move event materials and equipment as needed.
  • Comfortable travelling alone, working over weekend, and across different time zones to oversee activities. Off-in-lieu will be credited.
