Site Lead
Work Dynamics - Integrated Facilities Management
The Site Lead serves as the primary point of contact and overall in-charge of facilities management operations at the site. This role involves managing the facilities team and supply chain partners while developing and maintaining strong relationships with client stakeholders. The position requires exceptional leadership skills to drive continuous improvement, ensure contract compliance, and deliver exceptional workplace experiences. Additionally, this role is responsible for preparing to lead the standardization and implementation of the program across other regions for a smooth global rollout.
Key Accountabilities
- Serve as the main point of contact for all facility-related matters with stakeholders
- Develop and maintain strong relationships with key client stakeholders
- Proactively engage with stakeholders to understand and meet expectations
- Drive continuous improvements and innovation to support account vision and objectives
- Manage the FM team and supply chain partners in alignment with contractual requirements
- Provide leadership and effective management for the onsite team
- Escalate urgent issues to the Client as appropriate
- Prepare and deliver monthly reports and Quarterly Business Reviews (QBRs) on operations
Primary Responsibilities
Operations Management
- Review daily operational reports and address concerns
- Perform quality control checks on cleaning and maintenance services
- Respond to ad-hoc requests from employees and management
- Monitor and manage emergencies or urgent facility matters
- Continuously assess workplace for efficiency, safety, and experience improvements
- Maintain and update asset registers and maintenance schedules
- Review and manage help desk tickets, ensuring timely resolution
- Prepare for any audits and inspections
Data Analysis and Reporting
- Collect, analyze, and interpret workplace data to drive decision-making
- Create and present KPI reports and SLA performance metrics
- Manage and analyze data within the Computerized Maintenance Management System (CMMS)
- Prepare comprehensive monthly operational reports for stakeholders
Compliance and Risk Management
- Ensure compliance with health and safety regulations
- Implement and enforce corporate policies and procedures
- Monitor contract compliance and implement risk mitigation strategies
- Maintain proper records and prepare for audit processes
- Budget Management:
Budget Management:
- Develop and manage annual operating and capital budgets for both hard and soft services
- Track expenses and identify cost-saving opportunities
Asset Management
- Oversee maintenance of comprehensive asset registers
- Develop and implement maintenance planning strategies
- Manage minor renovation and improvement projects
- Optimize asset lifecycle and performance
Vendor Management
- Coordinate multiple vendors and contractors to ensure service delivery
- Conduct regular quality control checks and spot inspections
- Negotiate and manage vendor contracts and costs
- Build strong working relationships with service providers
Workplace Experience
- Implement workplace experience best practices
- Oversee help desk operations and user request fulfilment
- Manage facilities services including cleaning, waste management, pest control, and landscaping
- Identify opportunities to enhance the workplace environment
Environment, Health & Safety (EHS)
- Implement and maintain EHS programs
- Ensure compliance with relevant regulations and standards
- Oversee emergency preparedness and response procedures
- Conduct regular safety inspections and address identified issues
